Overview
The Facilities Contracts Officer plays a pivotal role in overseeing and managing contracts within the Facilities Department, including camp services, maintenance, transport, and landscaping. The position ensures that all contracts comply with agreed terms, and that work completed is accurately certified. The officer drives effective contractor performance management and aligns all actions with company procurement policies and governance frameworks.
Key Responsibilities
- Manage and administer all contracts related to facilities such as camp services, maintenance, transport, and landscaping.
- Review and verify contractor work completion against agreed scopes prior to approval of payment.
- Prepare and process payment certificates, ensuring accuracy and full compliance with contractual agreements.
- Continuously monitor contractor performance using KPIs, SLAs, and deliverable scopes.
- Lead quarterly performance evaluations of contractors, ensuring objective assessments and reporting.
- Identify any performance gaps, compliance issues, or underperformance and initiate corrective measures with contractors.
- Collaborate closely with the Contracts Office to manage Contract Variation Approval Forms (CVAF) and contract amendments.
- Draft and establish rules and procedures specific to the Facilities Department.
- Evaluate, validate, and approve variation claims ensuring they are justified and properly documented before implementation.
- Maintain comprehensive contract documentation including agreements, amendments, performance reports, and payment records.
- Support procurement and contract award procedures by providing necessary technical and operational insights.
- Ensure that all contractors adhere strictly to company policies, Safety, Health and Environment (SHE) standards, and contractual commitments.
- Generate regular reports for the Facilities Manager detailing contract performance, potential risks, costs, and compliance status.
- Participate in audits and maintain readiness of all contract-related documentation.
Required Qualifications and Experience
- Possession of a Botswana General Certificate of Secondary Education (BGCSE) certificate.
- Additional qualifications in archives and records management, computer science, or information technology will be advantageous.
- Preferably at least 2 years’ experience working within an exploration or mining environment.
