Role Overview
The Executive Assistant/Coordinator will play an essential role within the Cantor Fitzgerald Securities: HR - Global Management team by providing high-level support to the CHRO. This position involves contributing strategically to the HR department's direction while ensuring day-to-day operations and project management run smoothly.
Key Responsibilities
- Maintain the CHRO's calendar by scheduling meetings and organizing travel plans efficiently.
- Handle incoming email correspondence proactively by drafting replies and prioritizing important tasks.
- Prepare meeting agendas, develop presentation materials, and record minutes, ensuring timely follow-ups.
- Act as an intermediary to facilitate communication between the CHRO and various stakeholders.
- Oversee project timelines and deliverables, ensuring coordination across functions.
- Organize and manage documentation related to projects for easy and quick retrieval.
- Create high-quality PowerPoint presentations tailored for executive-level meetings.
- Support data tracking and prepare reports using Excel, including basic dashboard creation.
- Assist with internal communications and reporting as needed.
- Identify opportunities to enhance processes by leveraging AI tools and improving productivity.
Qualifications and Skills
- More than five years of experience supporting senior executives, ideally within HR or corporate environments.
- Proven abilities in project coordination with experience handling cross-functional initiatives successfully.
- Advanced skills in Microsoft Office applications, especially Outlook, PowerPoint, Excel, and Word.
- Outstanding organizational skills with capability to juggle multiple priorities while maintaining attention to detail.
- Strong verbal and written communication skills, with the ability to handle confidential information discreetly.
- Proactive, solution-focused attitude paired with solid problem-solving skills.
- Familiarity or enthusiasm for utilizing AI and automation to optimize workflows.
- Comfort working in a fast-paced setting and adapting quickly to changing demands.
- Excellent interpersonal skills and a collaborative approach.
- Genuine desire to contribute strategically within HR leadership.
Compensation
The annual salary for this role ranges from $100,000 to $130,000.
