Role overview
This position combines executive support and office management. You will work closely with the Partner to keep priorities organized, protect time for high-value work, and ensure the office runs smoothly each day. The role calls for excellent judgment, confidentiality, coordination across multiple stakeholders, and the ability to stay effective in a fast-moving environment.
What you'll do
- Deliver senior-level administrative support to the Partner with professionalism, speed, and discretion.
- Own the Partner's schedule, including calendar coordination, travel planning, expense tracking, and meeting setup.
- Organize board sessions, investor meetings, internal committee meetings, and outside engagements, making sure all logistics and materials are ready ahead of time.
- Build meeting agendas, compile briefing documents, note follow-up actions, and chase stakeholders to help decisions move forward on time.
- Prepare and refine presentations, emails, reports, investor-facing updates, and internal notes to a polished business standard.
- Serve as the main contact for the Partner's communication flow, sorting and prioritizing incoming and outgoing messages.
- Keep executive and company records well structured, secure, and easy to retrieve while maintaining strict confidentiality.
- Run day-to-day office administration and help maintain a professional, efficient, and orderly workplace.
- Manage office operations, facilities, suppliers, consumables, and admin services, working with internal colleagues and external vendors as needed.
- Assist with company events, leadership gatherings, and external conference coordination.
- Handle sensitive information carefully and always with a high level of integrity.
What we're looking for
- A bachelor's degree in Business Administration or a similar discipline.
- About 3 to 5 years of experience in executive assistance, office management, executive operations, or a comparable role supporting senior leadership.
- Proven ability to balance executive support responsibilities with office operations in a changing environment.
- Strong planning and prioritization skills, with the ability to manage several competing tasks at once.
- Excellent written and spoken communication in both Arabic and English.
- A professional approach marked by discretion, confidentiality, and integrity.
- Advanced capability with Microsoft Office tools, especially PowerPoint, Word, and Excel.
- Skill in creating high-quality presentations, reports, and executive correspondence.
- Good people skills and the ability to coordinate smoothly across all organizational levels.
- A proactive, detail-focused, and resourceful mindset with a drive for continuous improvement.
