RFP/Bid Specialist

About the Role

We seek a highly capable RFP/Bid Specialist to join our global team in a fully remote capacity, ideally aligning with the Canadian time zone. This position involves leading the entire proposal process for complex tenders, collaborating closely with multiple departments to ensure compelling and commercially sound responses are delivered punctually. Candidates with international experience, particularly those familiar with multi-language or multi-region tender regulations, will find this role well suited to their expertise.

Key Responsibilities

• Spearhead the complete lifecycle of RFPs, RFIs, RFQs, and tender submissions from initial qualification through to final delivery.
• Formulate strategic bid approaches and define win themes for each opportunity.
• Thoroughly analyse tender documentation to grasp requirements, evaluation benchmarks, risks, and business advantages.
• Create, review, and refine proposal content maintaining high standards of quality, consistency, and compliance.
• Coordinate activities and inputs among Sales, Production, Quality Assurance, Finance, Operations, and Executive leadership during bid processes.
• Oversee timelines and deadlines to guarantee on-time proposal submissions.
• Develop and upkeep a centralized repository of bid resources including templates, case studies, certifications, and reusable materials.
• Implement quality assurance measures and enforce submission governance policies.
• Assess win/loss data to enhance proposal quality and success rates continuously.
• Support the creation of client presentations, capability statements, and tools for sales enablement.
• Drive continuous enhancements to overall proposal management practices within the organization.

Candidate Profile

• Minimum of two years experience in RFP, bid, or tender management, preferably within a global or multi-regional framework.
• Proficiency in managing complex and high-stakes proposal processes.
• Exceptional command of commercial writing and editing techniques.
• Strong leadership skills with an ability to manage multiple stakeholders and cross-functional teams.
• Well-honed project management capabilities combined with acute attention to detail.
• Ability to handle multiple simultaneous proposals successfully.
• Understanding of commercial terms, pricing strategies, and contract fundamentals.
• Comfortable working with international teams across various time zones.
• Experience in language services, localization, or professional services sectors is highly advantageous.
• Familiarity with CRM, proposal management, or document management systems.
