Department Overview
This role is within the Colorado Department of Human Services (CDHS), Civil and Forensic Mental Health division, which manages two state inpatient psychiatric hospitals, forensic services, transitional living homes, and associated critical units such as financial services and hospital security.
Position Summary
The Program Assistant II supports the Outpatient Services program, facilitating the transfer of individuals from county jails and Colorado mental health institutes to private inpatient facilities. This remote position requires occasional travel within the Denver metro area for in-person meetings and coordination.
Core Responsibilities
- Provide administrative and technical support for the Civil Conversion Program, assisting its director and staff.
- Help develop and execute plans and procedures to meet departmental deadlines and objectives by analyzing policies, utilizing technical tools, overcoming barriers, and monitoring efficiency.
- Create and maintain secure, HIPAA-compliant organizational systems and databases for file retention, employee records, and shared drives.
- Support leadership and staff schedules; facilitate and document meetings, including agendas and minutes.
- Compile and present data-driven reports on program logistics and challenges.
- Serve as liaison between the department and other programs, requiring travel for coordination with remote teams.
- Manage completion of employee clearance processes (eClearance and PAFs) and conduct necessary training on evolving systems.
- Collaborate with human resources and labor relations to manage posting, interviewing, hiring, onboarding, and off-boarding tasks.
- Lead interview scheduling and track candidate information; coordinate new employee orientation and support administrative needs.
- Maintain confidential records related to employee licensing and ensure timely compliance with verification requirements.
- Keep secure supervisory files for the program director and manage timekeeping duties within division systems.
- Assist with client-related support including scheduling, care coordination, and engagement via phone, video, or in-person contact.
- Perform additional tasks such as notary services, clinical services support, and division-wide projects as assigned.
Qualifications and Experience
Applicants must have a combination of education and relevant work experience totaling at least five years in a related field. Preferred candidates will bring healthcare or behavioral health experience, project management skills, strong attention to detail, ability to multitask, and proficiency with technology platforms like Google Workspace and Microsoft Office.
