Job description

Overview

This full-time position is for an Office Manager at a non-profit organization located in St Johns, Newfoundland and Labrador, Canada. The role demands working on site to maintain optimal office operations in support of the organizations goals.

Education and Experience

  • A Bachelors degree or an equivalent combination of experience and education is necessary.
  • Preferred fields of study include fine arts, art studies, business, or commerce.
  • No previous work experience is mandatory as training will be provided.

Key Responsibilities

  • Conduct research to support various office functions.
  • Type and proofread correspondence, forms, and other documents ensuring accuracy.
  • Provide training to staff members as needed.
  • Organize and confirm appointments systematically.
  • Address employee inquiries and manage complaints effectively.
  • Perform basic bookkeeping activities to maintain financial records.
  • Coordinate the preparation and review of reports.
  • Manage contracts associated with office operations.
  • Welcome visitors and guide them to the appropriate contacts or service areas.
  • Establish and enforce office procedures and routine operations.
  • Answer phone calls, relay messages, and manage electronic inquiries promptly.
  • Enter data accurately into systems.
  • Deliver excellent customer service to internal and external stakeholders.
  • Collaborate with management, union representatives, and human resources consultants.
  • Order and maintain inventory of office supplies.
  • Analyze employee data and information to support HR and management decision-making.
  • Arrange travel plans, itineraries, and reservations as required.
  • Partner with the marketing department to understand and disseminate marketing communications to relevant field personnel.
  • Handle opening and distribution of mail and other materials.
