Job Overview
The Procurement Executive plays a vital role in supporting the organization's projects by handling the complete procurement lifecycle. This involves understanding end-user and project needs, sourcing the correct items adhering to specifications and budget, and ensuring timely delivery to facilitate smooth project progression.
Primary Responsibilities
- Handle purchase requests, shortlist suitable vendors, analyze prices and products, and negotiate favorable terms and conditions.
- Prepare and issue Purchase Orders (POs).
- Track PO status and accelerate delivery as needed.
- Facilitate technical clarifications and organize meetings between vendors and end-users.
- Participate in project discussions with the engineering team.
- Secure necessary documentation for purchased items, such as product certificates, test reports, and type approvals.
- Coordinate with shippers, freight forwarders, and warehouse teams to manage shipments.
- Compile monthly reports detailing procurement costs.
- Collaborate with finance and vendors to resolve discrepancies in POs and invoices.
- Maintain a comprehensive price database of goods and services.
- Build and nurture relationships with vendors and industry stakeholders.
- Manage vendor pre-qualification and conduct ongoing performance evaluations.
- Ensure all procurement activities comply with ethical standards.
- Undertake other responsibilities as assigned.
Qualifications & Skills
- Possess a Diploma or Degree in Engineering, Project Management, or related fields.
- Minimum of 3 years' experience in purchasing, product sourcing, and expediting.
- Proficient with MS Office applications.
- Familiarity with SAP or other ERP systems is advantageous.
- Experience or knowledge in Oil & Gas, Marine, or Construction sectors with vendor understanding adds value.
- Strong team player attitude with eagerness to learn.
- Positive demeanor and excellent interpersonal skills.
- Capable of working independently and collaborating effectively across different levels and cultures.
Education
Completed Bachelor's degree in Engineering or Project Management.
