Job Overview
This role involves managing decentralized purchasing activities including creation of purchase requests, tender processes, and contract management to support Amaiden Energy Nigeria Ltd's procurement operations.
Key Responsibilities
- Create purchase requests using SAP system.
- Prepare commitments for purchases under 50,000 USD specific to the entity.
- Conduct competitive tender processes involving at least three registered vendors by organizing Calls for Tender (CFT) with technical, commercial, and related documentation.
- Ensure strict adherence to procedures when receiving and opening tender submissions under decentralized purchasing guidelines.
- Manage waiver validation processes when tendering is not feasible, ensuring proper derogation approvals.
- Negotiate terms before issuing purchase orders for services valued at or below 50,000 USD.
- Generate Call-Off Orders aligned with existing contracts in UNISUP system.
- Ensure accurate and prompt creation of Services Entry Sheets (Job Progress Certificates) in UNISUP to facilitate timely vendor invoicing and payment.
- Verify that purchase orders are duly signed by authorized company personnel and vendors prior to commencement of work or services.
- Identify frequent or recurring service needs and propose Outline Agreements for future call-off contracts.
- Prepare contract award recommendations compliant with decentralized purchasing procedures.
- Ensure all contractual documents are filed, archived, and uploaded appropriately in UNISUP for audit and reference.
Qualifications and Skills
- Bachelor’s degree in Engineering, Management, or Social Sciences.
- Membership in relevant professional bodies within Supply Chain or Operational fields is advantageous.
- Proficient in MS Office Suite including Word, Excel, and PowerPoint.
- Minimum of five years’ experience in contract management and purchasing activities.
- Strong communication and analytical capabilities essential for complex negotiations.
- Ability to quickly learn SAP/R3, SAP reporting tools, and e-sourcing applications is preferred.
- Excellent interpersonal skills with strong capacity for anticipation, analysis, and synthesis.
