About the Role
This contract assignment is for an Administrative Assistant who will support executive operations, client scheduling, travel coordination, onsite event planning, and other administrative work. It is a strong fit for someone who is comfortable keeping complex details organized and helping teams stay aligned in a fast-moving remote setting.
The person in this role will partner closely with an Executive Assistant, providing scheduling and administrative backup for executive leadership, client-facing teams, and People Operations initiatives.
Work schedule: East Coast business hours.
Key Responsibilities
The role covers calendar management, travel support, event logistics, and general administrative assistance.
Calendar and Scheduling
- Assist the Executive Assistant in maintaining executive leadership calendars that change often and require careful coordination.
- Manage scheduling for external meetings with client-facing teams.
- Update calendars, arrange meetings, and confirm scheduling details with precision and professionalism.
Travel and Expense Support
- Help organize domestic travel, including bookings and lodging arrangements.
- Prepare and monitor monthly expense reporting for executive leadership.
- Keep receipts organized and follow reimbursement steps accurately and on schedule.
Event and Onsite Coordination
- Support onsite events and internal team gatherings.
- Reserve meeting rooms and arrange accommodations when needed.
- Handle catering coordination for meetings and events.
- Investigate and compare venues for team dinners, client meetings, happy hours, and similar occasions.
Administrative Coverage and Support
- Provide backup support for the Executive Assistant during absences to maintain continuity.
- Work comfortably with people at different levels, with varied communication styles and perspectives.
- Assist the People Operations team with administrative projects when required.
- Treat confidential and highly sensitive information with care and discretion.
Requirements
- Previous experience in an administrative support position.
- Background working with a startup or small technology company.
- Proven ability to manage complicated calendars.
- Experience supporting onsite events, meeting logistics, and venue research.
- Excellent attention to detail and a strong accuracy standard.
- Solid internal and external scheduling ability, especially for calendars that change frequently.
- Comfort using Microsoft Outlook and Slack.
- Strong organization skills and the ability to perform well in a dynamic, fast-paced environment.
- Good prioritization skills and a track record of meeting deadlines.
- Flexibility to adapt quickly as priorities shift.
- Reliable follow-through while balancing several responsibilities at once.
Compensation
Pay is offered at $25 to $35 per hour.
