Due to expansion at their New York office, there is an opening for a highly driven Administrative Assistant who will provide flexible support across various teams within the Asset & Wealth Management division.

Key Responsibilities

  • Offer versatile administrative assistance to multiple teams, providing coverage as needed within a collaborative work environment.
  • Manage calendars across various time zones and prioritize meeting requests, including organizing complex meetings and coordinating phone/video conferences for assigned teams.
  • Handle a substantial volume of incoming calls professionally, taking accurate messages while interacting with senior business leaders and clients.
  • Coordinate travel logistics and itineraries as required.
  • Process expense reports promptly for team members under your coverage.
  • Arrange internal and client meetings both on and off-site, including working with conference services for room bookings, catering, guest registration, and preparation of meeting materials.
  • Perform general administrative tasks such as copying, scanning, mailing, archiving, and other ad hoc duties as assigned.
  • Manage highly sensitive client information with the utmost confidentiality.
  • Stay informed of team priorities and provide necessary support.
