About the Role and Company
MathWorks offers a hybrid work model that combines in-office and remote work, allowing employees to benefit from both collaborative in-person interaction and flexible home-based productivity. Located just off Eyre Square in Galway City, the company is searching for a skilled Workplace Services Coordinator to manage daily office operations within a dynamic and evolving environment. This role requires a detail-oriented and energetic individual capable of multitasking and thriving in a growing workspace. Key Responsibilities
- Manage office operations by organizing day-to-day facilities, staff amenities, administrative needs, and coordinating with external contractors on-site.
- Build and maintain strong internal partnerships to enhance workplace experiences and support MathWorks' growth initiatives.
- Coordinate internal events, including the food program and major seasonal outings, managing budgets, venue selection, negotiations, menu planning, and activity coordination.
- Collaborate with Recruitment and other teams to maintain effective new hire relocation and onboarding processes.
- Act as the Health and Safety lead, ensuring compliance with legal and regulatory standards related to fire safety, evacuations, first aid, accident reporting, and ergonomic evaluations.
- Serve as the primary contact for employee inquiries relating to office matters.
- Oversee vendor relationships for both hard and soft services such as cleaning, maintenance, and office supplies.
- Maintain and update internal workplace systems including occupancy planning, security and access control, maintenance management, and helpdesk ticketing.
- Lead various workplace projects and support EMEA regional office initiatives as necessary.
Qualifications and Experience
- Possess a bachelor's degree with at least one year of relevant professional experience or an equivalent background.
- Experience in facilities management is desirable, especially with event planning for staff or customers.
- Background working in technology or comparable office environments is preferred.
- Strong interpersonal and team collaboration skills, coupled with enthusiasm, curiosity, and adaptability.
- Genuine interest in assisting people and problem-solving aptitude.
- Excellent verbal and written communication capabilities.
- Adept at leveraging internal networks to find optimal solutions and best practices in collaboration with regional and global teams.
- Proficient in systems utilization and familiar with Microsoft Excel, Word, and PowerPoint.
- Availability to work onsite five days per week.
