Role Overview
We are seeking a meticulous Payroll Specialist to join our expanding team. This role suits an individual who thrives in a dynamic setting, values precision, and can juggle multiple administrative duties efficiently. Prior experience with ServiceTitan is highly beneficial.
Key Responsibilities
- Process weekly payroll for both hourly and salaried employees utilizing ServiceTitan and associated payroll software.
- Verify accuracy of employee timecards and address any inconsistencies promptly.
- Manage payroll adjustments including overtime, bonuses, commissions, and prevailing wage payments.
- Maintain precise and confidential employee payroll records.
- Provide timely and professional responses to employee payroll inquiries.
- Contribute to monthly financial closing activities.
- Support year-end payroll processing, including W-2 preparation and audit processes.
- Prepare and file certified payroll reports for prevailing wage and public works engagements ensuring adherence to federal, state, and client-specific standards.
- Maintain compliant certified payroll documentation.
- Coordinate annual insurance renewals by collecting operational and payroll data, collaborating with insurance brokers for applications and audits, and assisting with workers' compensation payroll audits.
- Manage contractor prequalification applications by maintaining up-to-date records such as insurance certificates, EMR data, financials, safety logs, and compliance certificates, and track renewal schedules.
- Assist with payroll reporting and reconciliations along with other HR and accounting administrative projects.
- Organize electronic and physical records systematically.
- Suggest and implement process enhancements aimed at boosting efficiency and accuracy.
Qualifications
- Minimum of three years' experience in payroll processing.
- Proficiency with ServiceTitan highly favored.
- Experience in certified payroll preferred.
- Background in construction or service industry payroll is advantageous.
- Knowledge of prevailing wage requirements is considered a plus.
- Strong grasp of payroll regulations, tax obligations, and compliance standards.
- Experience managing insurance renewals and contractor prequalification documentation preferred.
- Excellent skills in organization, communication, and Microsoft Office.
- Ability to handle sensitive information with confidentiality.
