Role overview
Braze is looking for a proactive Workplace Experience Specialist to run the day-to-day operations of the Berlin office and help shape the employee experience as the site continues to grow. The role is part of the People Team and reports to the Regional Manager, Workplace Experience - EMEA. It requires a full-time, on-site presence in the office Monday through Friday.
The ideal person is comfortable working in a fast-moving environment, can bring order to ambiguity, and is motivated to improve how employees experience the workplace. You will partner with teams across Braze on local and global workplace initiatives while keeping a close eye on the needs of the Berlin team.
Key responsibilities
- Run office operations and coordinate daily workplace services such as food, snacks, mail, and package handling to ensure a smooth employee experience.
- Provide a high standard of hospitality and customer support to everyone visiting or working from the Berlin office.
- Track and resolve workplace service requests with a customer-first approach.
- Plan and execute local office events and engagement activities, including holiday events, mixers, ERG programming, and other employee activations.
- Prepare workplace communications for the Berlin office so employees stay informed about events, office updates, amenities, and announcements.
- Manage desk usage and partner with the Workplace Experience team to support hybrid work arrangements.
- Lead the local onboarding experience for new hires through in-person orientation, office tours, and introductions that help build connections.
- Contribute to workplace policies, processes, tools, and hybrid-work practices in partnership with relevant teams.
- Develop strong working relationships with internal partners such as IT, Finance, and Employee Experience, and serve as a dependable workplace advisor.
- Use data and direct engagement to understand the needs of Berlin employees and respond to changing workplace requirements.
- Coordinate vendor relationships, arrange repairs, and work with high-quality suppliers while keeping diversity and inclusion in mind.
- Act as the main point of contact with building management for facility-related issues and communication.
- Partner with Procurement and your manager to onboard vendors, review quotes, and move proposals forward on time.
- Assist with office budget tracking and financial planning.
- Support health and safety compliance for the Berlin office in coordination with the H&S contractor and People team.
- Help maintain safety standards, implement required procedures, and ensure a secure workplace for all employees.
- Report workplace accidents or incidents promptly and ensure the correct documentation and follow-up are completed.
What the company is looking for
- 3 to 4 years of experience in a Workplace Experience role; prior site lead experience is a plus.
- Availability to work on-site full time, Monday to Friday.
- Background in change management, administration, and vendor coordination.
- Proven ability to perform well in a fast-paced, high-growth environment while balancing multiple priorities.
- Experience supporting office moves or office build-outs is an advantage.
- Comfort working with data and improving processes over time.
- Strong relationship-building skills across functions and stakeholder groups.
- Clear and consistent communication style that keeps teams aligned and informed.
- Genuine interest in delivering excellent workplace service and employee support.
- Self-directed, organized, and able to set priorities with limited supervision; experience with a remote manager is a plus.
- Creative problem-solving ability and a practical, solutions-oriented mindset.
- Strong attention to detail and pride in maintaining the office environment.
- A positive, hands-on attitude where no task is considered too small or too large.
- Physical ability to stand, bend, squat, and lift up to 25 to 30 pounds.
- Familiarity with Mac computers and GSuite.
