Overview
Sodexo is seeking a Workforce Scheduler to join their Balcatta Support Centre team. This permanent, full-time role offers a Monday to Friday schedule working 38 hours per week with the flexibility to work from home twice weekly. The position is integral to supporting staffing demands across Australian sites through effective scheduling and labour management.
Primary Responsibilities
- Manage and maintain employee and site rosters according to approved systems, templates, and processes while coordinating with Talent Acquisition to support site access and new hire closures.
- Update and maintain trackers, processes, and reporting tools in alignment with established work instructions and best practices.
- Deliver professional communication with internal and external stakeholders, ensuring exceptional customer and employee service experiences for site managers and employees.
- Lead weekly meetings with site teams following a national template to address labour scheduling, vacancies, HR performance, and usage of the time and attendance system.
- Identify staffing shortages from rosters, fill contingent labour needs by scheduling shifts from agency and contingency pools, adhering to site access requirements and approval procedures.
- Ensure compliance with established processes regarding labour authorizations and classification.
- Maintain appropriate contingent labour pool levels per site and region by validating site access, updating candidate availability, and utilizing multiple communication channels to assign shifts effectively.
- Monitor operational and staffing changes at sites, ideally up to three weeks in advance, but at minimum one week, to anticipate and accommodate unplanned absences or forecast changes.
Required Skills and Expertise
- In-depth knowledge of recruitment, scheduling, and rostering principles.
- Patience and adaptability in managing multiple interfaces and processes.
- Strong customer service orientation with the ability to work methodically and ensure compliance.
- Capacity to identify and collaboratively handle HR-related issues.
- Excellent English communication skills, both written and verbal.
- Effective problem-solving capabilities coupled with strong time management and prioritization skills.
- Exceptional organizational skills to accurately manage multiple schedules and shift plans simultaneously.
Qualifications
- Secondary High School Certificate is required.
- Business Administration and HR certifications are advantageous but not mandatory.
- Proficiency in Microsoft Office, especially Excel and Outlook.
- Understanding of rostering principles and relevant industry experience; FIFO experience is preferred.
- Prior experience in payroll or employment relations roles is desirable.
- Strong planning, coordination, and communication skills along with effective time management.
