Job Purpose

The Supply Chain Operations Coordinator (SCC) will provide vital operational support to the Supply Management team, focusing primarily on the Facilities Management (FM) Procurement function. The SCC responds to operational needs from a designated Sodexo site to support daily activities and assists during new bids or mobilization phases where coordination and operational input are essential. The role also contributes to tactical problem-solving during unexpected situations impacting site supply continuity.

Key Responsibilities

  • Serve as the main point of contact for site-related supply chain issues in the assigned category, addressing matters like delivery or quality concerns identified via structured platforms or direct escalation.
  • Assist procurement teams during bid processes by obtaining pricing and support mobilization efforts by coordinating delivery plans with suppliers to ensure readiness for day one of operations.
  • Resolve urgent supply challenges such as delays in payment or emergency disruptions (e.g., flood-related site isolation), requiring agile and flexible response strategies.
  • Manage SKU creation, modification, and deletion requests promptly and accurately.
  • Support supplier onboarding processes and collaborate with the Supply Chain Integrity Coordinator to maintain compliance.
  • Compile and analyze operational data, prepare reports and presentations to aid procurement decision-making and communicate status updates effectively.

Operational Details

  • Manage central communications via INBOX/Data Station to identify and process issues related to Indirect Procurement, providing timely and tailored responses that build confidence among stakeholders.
  • Escalate unclear or complex issues appropriately to management for guidance.
  • Issue product recall alerts for Indirect categories when necessary.
  • Liaise internally with BID or Mobilisation project leaders and colleagues to ensure catalogues and systems align with contract requirements and site launch timelines.
  • Maintain high data integrity in the Optimum AX system by establishing or updating catalogue items accurately, coordinating with offshore teams as needed.
  • Drive catalogue rationalization by implementing standards for catalogue inputs.
  • Validate supplier information in Optimum to ensure full adherence to purchasing policies.
  • Create vendor accounts during mobilizations to facilitate timely procurement orders.
  • Meet all reporting deadlines while ensuring accuracy and completeness of data and analysis.

Knowledge and Skills

  • Strong customer orientation with excellent negotiation and influencing skills to understand stakeholder needs and maintain productive relationships.
  • Experienced user of ERP systems, especially for master data creation and management.
  • Effective communicator with strong written, verbal, and reporting capabilities.
  • Quick problem-solving skills with urgency in addressing supply chain disruptions.
  • Excellent organizational skills combined with high attention to detail and accuracy.
  • Proficient in data analysis and reporting, with a commitment to improving efficiencies through technology, including familiarity with tools like Power BI.
  • Outcome-driven mindset with a proactive, positive attitude.

Experience and Qualifications

  • Two to three years of experience in supply chain, logistics, or procurement roles.
  • Demonstrated ability in customer service, system management for item data accuracy, and analytical reporting.
  • Experience supporting procurement activities for service or product categories.
  • Capable of coordinating process activities involving offshore or remote team members.
  • Diploma or Degree in Business with a major in Supply Chain Management or Procurement.
