Role Overview
The Wedding Planning Assistant is a part-time, hybrid position based in the New York City Metropolitan Area, requiring local candidates only. This role strikes a balance between on-site event participation and remote organizational duties. It involves assisting lead planners with coordinating wedding specifics, including maintaining event timelines, managing vendor data, and preparing necessary documentation.
Key Responsibilities
- Serve as a liaison by communicating with couples and vendors to confirm logistics and support design and décor preparations.
- Attend certain site visits and weddings, maintaining professional conduct throughout interactions with clients and vendors.
- Handle administrative duties such as updating planning platforms, compiling financial budgets, researching venues and suppliers, and assisting with post-event activities.
Required Qualifications
- Prior experience in event or wedding planning with residency in the New York City area is mandatory.
- Strong interpersonal and communication skills to collaborate effectively with clients, families, vendors, and venue staff.
- Ability to manage event budgets, timelines, and foresee logistical challenges with strong analytical skills.
- Competence in event and production scheduling to coordinate details and vendor deliveries efficiently.
- Professional demeanor with excellent written and verbal communication, coupled with critical thinking abilities.
- Flexibility to work non-traditional hours including evenings and weekends as events demand.
- Highly organized with attention to detail and capability to juggle multiple assignments concurrently.
- Familiarity with common office software and collaboration tools such as spreadsheets, shared calendars, emails, and event layout management applications.
