Job description

About the Role

We are looking for a Warehouse Officer to join the Supply Chain Department at our Kumasi location within the ASHBA Territory. This role primarily focuses on overseeing the receipt and issuance of raw and packaging materials for manufacturing, ensuring compliance with current Good Manufacturing Practices (cGMP) and accurate data management in our ERP system.

Key Responsibilities

  • Record receipt and transfers of materials accurately in NAV ERP to maintain up-to-date inventory data.
  • Ensure timely issuance of materials for production to align with weekly production plans.
  • Report weekly on stock levels to the Warehouse Supervisor and maintain precise bin card updates consistent with physical inventory.
  • Store materials properly under conditions compliant with cGMP protocols.
  • Implement stock rotation practices such as FIFO and FEFO to prevent material obsolescence.
  • Generate and issue stock reports regularly.
  • Adhere strictly to all Standard Operating Procedures (SOPs).
  • Maintain impeccable documentation for all receipt and issuance transactions, including GRN, commercial invoices, released stickers, packing lists, and certificates of analysis for finance processing.
  • Coordinate with the Quality Department regarding material status for sample analysis, including appropriate labeling (color-coded) for approval, rejection, or quarantine.
  • Promote and maintain good warehouse hygiene, cleaning, and safety standards.
  • Prepare for and participate in monthly and financial year-end stock audits and reconcile physical counts with system records.
  • Ensure compliance with data integrity and security policies and uphold all company standards and procedures.
  • Perform additional duties as assigned by the supervisor.

Experience and Skills

  • Minimum of two years of experience in inventory or warehouse management.
  • Proven ability and experience in accurate data entry and stock management.
  • Strong attention to detail and analytical thinking abilities.
  • Efficient and accurate typing skills.
  • Ability to work independently under pressure with minimal supervision.
  • Flexibility, initiative, and eagerness to learn new skills.
  • Capacity for multitasking and teamwork.
  • Basic numeracy and business understanding.
  • People management and interpersonal communication skills, both verbal and written.
  • Confidence in workplace interactions.

  • Quickly deliver precise stock figure data.
  • Maintain excellent warehouse organization and cleanliness.
  • Ensure stock counts align accurately with bin card balances.
  • Strictly comply with regulatory and company standards.
  • Adhere to planned schedules and processes.

Work Environment and Compliance

The Warehouse Officer will work on-site in Kumasi within a logistics and production support environment, adhering to company and industry protocols for warehouse safety and material handling.
