Job description

Role overview

This position is for a Ward Administrator/Receptionist on Sapphire Ward, a busy front-desk and administration role within an inpatient setting. The postholder will provide efficient reception and clerical support to help the ward run smoothly and contribute to safe, effective patient care.

Sapphire Ward is an acute male ward with 20 beds, caring for patients aged 18 to 65. The successful candidate will be the first person patients, visitors and staff interact with, so a calm, organised and responsive approach is essential.

Key duties

  • Serve as the initial contact for the ward, greeting patients, visitors and staff, answering phone calls and keeping email correspondence moving in a timely way.
  • Deliver broad administrative and clerical assistance to the ward team, including preparing admission paperwork, information packs and materials for meetings.
  • Keep patient and ward information accurate and up to date by maintaining status boards, bed occupancy records, admission/discharge details and uploading documents to the electronic patient record system.
  • Handle operational support tasks such as arranging patient transport, placing ward supply orders through e-procurement systems and escalating faults with estates, IT and equipment.
  • Assist with governance and safety-related activities, such as maintaining confidentiality, supporting fire safety checks, taking minutes during meetings and covering for colleagues when needed.
