Role Overview

The VP of Finance & Administration is a newly expanded leadership position created to support the CEO and executive team as an operating partner across finance, HR, procurement, and strategic projects. This is broader than a standard controller position. The person in this role will switch between financial discipline and hands-on execution, leading a function that influences nearly every part of the business.

Success in this role means owning the numbers, improving the systems, supporting the people function, and contributing to critical business decisions. It is best suited to someone who enjoys fast-moving environments where the work is meaningful and the results are visible.

Key Responsibilities

  • Work closely with the CEO and leadership team to advance strategic priorities, improve efficiency, support growth, and increase organizational visibility.
  • Lead the company’s finance and administration umbrella, covering accounting, HR, procurement, FP&A, reporting, and selected strategic initiatives.
  • Contribute as a senior leadership team member by strengthening planning, operating discipline, and cross-functional execution.
  • Create scalable processes, reporting structures, and decision-support tools that help the company grow in a profitable and efficient way.
  • Help execute the company’s AI efforts, including planning, hiring, pricing, forecasting, resource allocation, workflow adoption, and performance measurement.
  • Support pricing decisions, business analysis, special initiatives, and broader growth projects.
  • Bring analytical and operational rigor to high-priority work that sits outside the traditional finance function.
  • Shift quickly between strategy and execution, establish structure where needed, and challenge ideas when they do not hold up logically.
  • Build credibility across teams and bring clarity, accountability, and operating discipline as the company scales.
  • Oversee outsourced bookkeeping, including month-end close, reconciliations, accounts receivable, accounts payable, and day-to-day accounting activities.
  • Ensure financial reporting is accurate and timely, strengthen controls, and improve the quality of finance processes and data.
  • Lead the annual audit and coordinate with external auditors, advisors, and internal stakeholders.
  • Introduce practical automation and AI tools into finance and operations to improve speed, accuracy, visibility, and efficiency.
  • Manage payroll and multi-state employer registrations, keeping the company compliant as it expands across states.
  • Lead annual budgeting, rolling forecasting, KPI reporting, dashboard creation, and variance analysis.
  • Improve visibility into utilization, capacity, and the relationship between headcount, projects, and service delivery to support efficiency and margin improvement.
  • Define and monitor core KPIs across the business, adding structure to Managed Services, Projects, Procurement, and other important functions.
  • Build reporting and analysis that help leadership understand performance at the company, customer, service-line, and department level.
  • Increase forecasting accuracy, strengthen resource allocation, and improve overall financial planning discipline.
  • Oversee HR through the HR Manager.
  • Support organizational planning, headcount planning, performance management, workforce planning, and broader people strategy.
  • Act as a partner to leadership and assist with hiring, including building out the AI team.
  • Oversee procurement through the Procurement Manager and Analyst for customer hardware and software purchasing.
  • Improve margin discipline in procurement and build the structure, systems, team setup, and operating mindset needed to raise performance.
  • Strengthen workflows, controls, efficiency, and coordination across the procurement process.
  • Work cross-functionally to ensure procurement supports customer outcomes and company growth.
  • Partner with the President and CRO on mergers and acquisitions from sourcing through diligence, analysis, closing, and integration.
  • Lead post-close integration efforts with other business leaders.
  • Support deal modeling, transaction execution, lender materials, and integration planning.
  • Help assess acquisition opportunities in the context of the company’s broader strategy.
  • Own relationships with senior lenders and other financing partners.
  • Manage lender reporting, covenant compliance, capital planning, and ongoing communication related to growth and acquisitions.

Compensation & Location

  • Base salary range: $185,000 to $215,000.
  • The role is primarily remote, with in-person visits in New York every few months.

Additional Information

This position is designed for a leader who can operate across finance, operations, and people functions while also contributing to strategic growth initiatives. Prior experience with AI tools, automation platforms, or AI-enabled workflows in finance or operations is considered a plus.
