Job description
Overview
The Tender Executive plays a crucial role in assisting the Head of Tender & Market Access throughout the entire tender and insurance reimbursement processes. This includes preparing tender documentation for submission to government and private entities, as well as supporting the preparation, submission, and monitoring of insurance and reimbursement claims across the DOH, Daman, and Thiqa payer systems. The role requires adherence to company policies while striving to meet individual targets and contribute to optimum customer satisfaction.
Key Responsibilities
- Prepare, submit, and follow up on insurance and reimbursement files ensuring accuracy in coding, pricing, and documentation with payers such as DOH, Daman, Thiqa, and other UAE insurers.
- Monitor reimbursement approvals, investigate any rejections or deductions, and address root causes to protect revenue and profit margins.
- Provide consistent updates to management regarding status of local commercial tenders and insurance/reimbursement processes.
- Monitor issuance of local tenders from government bodies and private sectors on an ongoing basis.
- Gather tender documents, observe submission deadlines, confirm stock availability for requested items, and prepare necessary documentation and samples.
- Organize and timely submit tender offers to local, semi-government, and overseas commercial tender processes.
- Ensure all tender documentation, including bank guarantees, are accurate and submitted on time to relevant departments.
- Manage clearance processes for overseas orders until communicated to concerned institutional customers.
- Analyze sales data and provide reporting to management.
- Develop dashboards to track orders and performance metrics.
- Support the Head of Tender & Market Access in resolving institutional customer complaints effectively.
- Analyze pricing changes and optimize prices accordingly.
- Maintain strong communication with partners to deliver excellent customer service.
- Foster and maintain good client relationships to support existing business growth and capture new opportunities; promptly address any unexpected business losses.
- Recommend and implement tools to improve the efficiency and effectiveness of tender and insurance administrative functions.
- Communicate effectively with customers and principals regarding any changes.
Qualifications and Experience
- Bachelor’s degree or MBA required; a degree in Information Technology is considered an additional advantage.
- Minimum of two years of experience in a Tender Department, preferably with knowledge of insurance and reimbursement processes.
- Strong business data analysis skills with proficiency in financial and numerical analysis.
- Excellent communication skills with fluency in English; Arabic language skills are a plus.
