Role overview

This position is for a proactive and highly organised Executive Support Coordinator based in London, supporting the Interactive leadership team. The focus of the role is to keep executive diaries running smoothly, strengthen day-to-day operations, and provide dependable administrative support. It is also intended as a growth-oriented role, with a clear development path toward becoming an Executive Assistant. The person in this role will help keep schedules on track, coordinate priorities, and gain exposure to leadership work and wider organisational objectives.

  • Cross-team and stakeholder coordination happens smoothly, allowing leadership activities to move forward without disruption.

Key responsibilities

Diary and time management

  • Take ownership of complex executive calendars, planning meetings across multiple time zones and ensuring time is used on the highest-priority work.
  • Organise internal and external appointments so executive schedules are used as efficiently as possible.
  • Build daily and weekly schedules in advance, spotting clashes early and resolving them quickly.

Executive support

  • Provide administrative assistance such as making travel arrangements, coordinating logistics, and managing expenses.
  • Help prepare for meetings, briefings, and events by gathering the right materials and ensuring executives are ready.
  • Support important leadership activities by monitoring actions, follow-ups, and outcomes.

Coordination and communication

  • Act as a bridge between executives and stakeholders by drafting correspondence and organising briefing materials.
  • Work with internal teams to keep priorities, deliverables, and expectations aligned.
  • Maintain structured systems and processes that support efficient daily operations.

Stakeholder engagement

  • Serve as a key contact for scheduling and operational queries.
  • Develop trusted working relationships across the business to help things run effectively.
  • Manage sensitive and confidential information with a high level of discretion.

Events and external engagement

  • Support executives at industry events, conferences, and trade shows, including scheduling and logistics support.
  • Create event schedules and plans for engaging with relevant stakeholders.

Candidate profile

  • Experience supporting senior leaders in a busy and complex environment.
  • Strong alignment with values-led ways of working.
  • Excellent organisation and prioritisation skills, with strong attention to detail.
  • Comfortable taking initiative, anticipating needs, and working with limited direction.
  • Strong written and verbal communication skills, with confidence engaging people at all levels.
  • Sound judgement, professionalism, and a high level of discretion.
  • Motivation to progress into an Executive Assistant role.
