Position Overview
We seek a meticulous, proactive, and well-organized Talent Acquisition, HR Operations & Executive Support Specialist for a temporary six-month contract to cover a leave of absence. Reporting to the People team, this role integrates end-to-end recruitment duties, HR operations support, and high-level administrative assistance for the CEO. The ideal candidate thrives managing multiple priorities in a fast-moving setting, communicates effectively across all levels, and holds ownership of diverse tasks balancing strategic recruitment with operational and executive coordination.
Key Responsibilities
- Oversee full-cycle recruitment, from job intake to offer finalization and onboarding coordination.
- Collaborate with hiring managers to clarify hiring needs, job criteria, and recruitment deadlines.
- Create and publish job postings on various recruitment platforms.
- Source, assess, and engage candidates via multiple channels ensuring a positive candidate journey.
- Organize interview schedules, candidate communications, and offer procedures.
- Maintain recruitment data, candidate pipelines, hiring statistics, and HR records within internal systems.
- Work alongside HR, Finance, IT, managers, and external partners to streamline hiring and employee lifecycle activities.
- Assist with onboarding, offboarding, and other HR administrative processes.
- Contribute to HR projects, process enhancement, and operational initiatives.
- Provide support for benefits administration and address employee HR queries when necessary.
- Manage complex executive calendars across various time zones facilitating scheduling and priority setting.
- Coordinate meetings—handle agendas, logistics, materials, and follow-ups.
- Arrange comprehensive domestic and international business travel including accommodations and detailed itineraries.
- Assist the CEO with daily administrative tasks, correspondence, and confidential matters.
- Act as liaison between executives and stakeholders assuring timely communication and follow-up.
- Prepare presentations, reports, and executive documents as needed.
- Monitor priorities, deadlines, and ongoing projects to support timely completion.
- Organize leadership meetings, company events, off-sites, and executive visits.
- Help with office operation tasks and broader administrative projects.
Requirements
- 2 to 4 years experience in Talent Acquisition, HR Operations, Executive Support, or related People Operations roles.
- Proven ability managing full-cycle recruitment across multiple teams or departments.
- Previous experience supporting senior executives or leadership teams is preferred.
- Exceptional organizational and multitasking skills with autonomous project management capability.
- Strong interpersonal skills combined with excellent communication and stakeholder engagement.
- High level of professionalism and discretion in handling confidential information.
- Tech-savvy, familiar with Google Workspace, Slack, Zoom, LinkedIn, ATS, Monday.com, or comparable systems.
- Detail-oriented with a strong sense of responsibility, accountability, and follow-through.
- Capacity to perform well in fast-paced, dynamic, and growth-oriented environments.
- Experience collaborating cross-functionally with HR, Finance, IT, hiring managers, and external vendors.
- Experience in startups or global corporations is an asset.
Compensation
The position offers an annual salary range from $75,000 to $80,000 USD.
