Job description
Role overview
This position is responsible for coordinating staff rosters, tracking attendance and leave, and supporting day-to-day workforce planning for terminal operations in Dar es Salaam. The role also helps ensure that manpower is allocated correctly, records are kept accurately, and operational teams receive timely support in line with company procedures.
Core purpose
The main objective of the role is to help oversee operational staff so that equipment is handled safely, work plans are followed, and safety standards are consistently met. The position supports DP World’s aim of improving operational performance, strengthening handover cycles, and maintaining a zero-incident environment.
Key duties
- Collect the daily staff schedule from timekeeping and review any roster updates or feedback.
- Enter and update employee time records in the system.
- Keep attendance and working-hours records current and accurate in the Time & Attendance system for reference and documentation.
- Prepare monthly summaries of work hours and overtime.
- Compile monthly reports for absences and sick leave, then share them with management.
- Record sick leave in the LRS and T&A systems accurately.
- Check medical receipts, prepare a monthly medical bills log, and submit it to HR.
- Maintain personnel files and summary sheets so information can be found and shared easily.
- Respond to employee questions and make sure requests are handled promptly and effectively.
- Work with the section operations planning team to arrange daily manpower allocation.
- Ensure newly hired employees are added to the daily roster according to operational needs.
- Track annual, local, emergency, and sick leave requests, including investigation where needed before approving emergency or sick leave.
- Keep non-system records such as files, Excel databases, and the cargo rostering system updated for easy retrieval, tracking, and information sharing.
- Ensure labour-law compliance for working hours, overtime, and rest breaks.
- Monitor labour costs and operate within approved budgets.
- Prepare manpower allocations for third parties such as SUMA JKT or other external parties as required by daily demand.
Job context and expectations
DP World expects the team to ensure all operators use equipment safely, follow the required operational plan, and comply with safety standards while supporting business goals.
Functional focus
The role calls for strong knowledge of terminal operations, familiarity with heavy equipment, solid safety awareness, effective communication with blue-collar teams, especially operators, and leadership capability to coordinate a large workforce toward DP World’s targets.
Requirements
- A bachelor’s degree in Public Administration, Human Resources, Business Administration, or a related discipline.
- At least 3 years of experience in workforce planning, staff administration, or operations.
- Practical understanding of employee allocation and rostering.
- Prior exposure to roster systems or equipment allocation systems.
- Strong computer skills, especially in Excel.
- Good decision-making and analytical abilities.
- A goal-driven mindset with a focus on results and achievement.
