Role Overview

Nile University of Nigeria, a private multidisciplinary university established in 2009 and part of Honoris United Universities since 2020, is hiring a Specialist, Rewards & Administration to join its HR team in Abuja. The university offers more than 40 undergraduate programmes and over 50 postgraduate programmes across eight faculties, including Health Sciences, Law, Science, Computing Studies, Engineering, Environmental Sciences, Management Sciences, and Arts & Social Sciences.

The position calls for a highly capable, results-driven professional with strong integrity who can support daily HR operations, employee services, rewards administration, and records management with accuracy and professionalism.

Key Responsibilities

  • Handle HR payment requests end to end, including reimbursements, allowances, employee benefit payouts, payroll-related items, and vendor invoices, while ensuring correctness, completeness, and policy compliance.
  • Work with Finance and other internal teams to ensure payments are processed on time, reconciled properly, and any issues are resolved with full supporting records.
  • Coordinate travel desk support such as flight reservations, hotel arrangements, travel logistics, visa assistance where needed, and other travel-related arrangements for employees.
  • Keep thorough and accurate records of all payment activities, track pending items, and quickly identify and fix discrepancies or unresolved queries.
  • Build, maintain, and regularly refresh employee files and personnel records so information remains secure, accurate, complete, and easy to retrieve.
  • Follow data privacy rules, document retention standards, and confidentiality expectations when handling staff information and HR records.
  • Administer leave processes by tracking annual, sick, maternity, paternity, and other absence types in line with company policy.
  • Check, verify, and process leave requests while advising employees and managers on policies, balances, and entitlements.
  • Prepare recurring HR reports and dashboards covering payment requests, leave usage, staff meal benefits, and other administrative metrics to support decision-making.
  • Provide records, reports, and documents needed for internal and external audits, ensuring compliance with policy, regulations, and control requirements.
  • Partner with HR colleagues, managers, Finance, and other stakeholders to ensure smooth delivery of administrative services and coordinated execution of HR processes.
  • Respond promptly and professionally to employee questions and requests relating to HR administration, rewards, benefits, payments, leave, and personnel records.
  • Communicate clearly and proactively with employees, managers, and external partners to guide issue resolution and maintain strong service standards.

Performance Expectations

  • At least 95% of payment requests should be completed within the agreed service timeline.
  • Payment accuracy should be maintained so that fewer than 2% of transactions require correction or rework.
  • Payment records must be reconciled in a timely manner.
  • At least 95% of travel bookings should be completed within the required timeline.
  • Travel disruptions caused by administrative mistakes should be eliminated.
  • Stakeholders should report positive feedback on logistics support.
  • At least two process-improvement initiatives should be delivered each year.
  • The role should contribute effectively to cross-functional projects and initiatives.

Requirements

  • A bachelor’s degree in Human Resources, Business Management, or a closely related discipline is required.
  • A minimum of 3 years of broad HR experience is required, including at least 2 years in administration and records management.
  • Ability to work through ambiguity, tight deadlines, shifting priorities, and demanding stakeholder expectations in a fast-paced environment.
  • Strong working knowledge of Microsoft Office applications is required.
