Job description
About the Role
Tend is reimagining the dental experience through thoughtfully designed studios, skilled clinicians, and technology that helps care feel smooth from start to finish. This role sits at the center of clinical hiring and is focused on building the top of funnel for Dentists, Hygienists, and Dental Assistants across Tend’s expanding studio network.
This is a hands-on sourcing and CRM leadership role, not a passive recruiting function. You will shape outreach strategy, manage the CRM lifecycle, keep Greenhouse organized and reliable, and approach clinical talent engagement with a marketer’s eye for segmentation, messaging, and conversion. The position is contract-based with potential to convert to a full-time hire, reports to the VP of Talent Acquisition, and is fully remote for candidates based in the US.
What You’ll Do
Clinical Sourcing and Pipeline Development
- Lead proactive sourcing for Dentists, Hygienists, and Dental Assistants across Tend’s markets, creating diverse and well-qualified pipelines aligned to growth goals and studio opening timelines.
- Use advanced Boolean search, LinkedIn Recruiter, dental school databases, association directories, niche job boards, and other creative channels to identify passive candidates.
- Assess prospects and hand off strong candidates to recruiters with clear notes and a smooth transition so interest and momentum are preserved.
- Write personalized outreach that matches Tend’s brand voice and appeals to clinicians, then continuously test and improve messaging to raise reply and conversion rates.
CRM Strategy, Campaigns, and Nurturing
- Own the clinical CRM by segmenting talent groups, creating nurture campaigns, and keeping candidates engaged between first contact and active recruiting conversations.
- Build multi-step outreach sequences informed by performance data, including reply rates, interview conversion, and weaker message points.
- Import and organize contacts from external sources such as dental school databases, association lists, event attendee lists, and purchased lists.
- Work with the VP of Talent Acquisition on employer branding, referrals, and recruiting events that expand the pipeline and strengthen Tend’s market presence.
- Maintain accurate, well-tagged candidate records to support reporting, insights, and pipeline visibility.
Greenhouse Administration and ATS Management
- Serve as a power user and administrator in Greenhouse, including job setup, templates, scorecards, approval flows, permissions, and reporting dashboards for clinical hiring.
- Keep ATS data clean and dependable by monitoring integrity, making sure candidates progress correctly, and coaching the team on consistent system usage.
- Create and maintain reports and dashboards that show pipeline health, sourcing channel performance, conversion rates, and time-to-fill, while translating findings into actionable recommendations.
- Support evaluation, testing, and refinement of sourcing and recruiting tools as the team’s technology stack changes.
Operational Support and Market Awareness
- Stay current on dental talent market trends, including compensation, competitor activity, and labor data that shape hiring strategy and outreach positioning.
- Help foster a recruiting environment that is fast-moving, high-quality, and collaborative by sharing sourcing wins and contributing to a strong candidate experience.
Who You Are
You approach recruiting like a marketer, thinking in terms of sequences, audience segments, and conversion rather than only resumes and requisitions. You are comfortable balancing strategy and execution, and you understand how sourcing, CRM, ATS, and reporting work together as one hiring system.
Tend Values
- Tend to Others: You treat every candidate interaction as meaningful, communicate carefully, and follow through in ways that support strong pipelines and quality hiring outcomes.
- Be Brave Enough to Lead: You raise concerns when a search strategy is not working, challenge misalignment with market realities, and bring forward ideas with confidence.
- Savor the Ride: You stay steady and positive through long hiring cycles, celebrate pipeline progress, and help keep the team motivated.
- Embrace Our Differences: You intentionally build diverse pipelines, welcome different viewpoints, and keep communication respectful and direct.
- Rooted in Growth: You learn continuously, seek feedback, and use each campaign or search as a chance to improve your craft.
Role-Based Competencies
- Build the System, Not Just the Search: You understand how sourcing, CRM, ATS, and reporting fit together and design workflows that strengthen the whole recruiting engine.
- Market Like a Recruiter: You bring marketing discipline to candidate engagement through segmentation, testing, analysis, and relationship-building sequences.
- Translate Data into Decisions: You can build dashboards, analyze funnel data, and turn metrics into clear next steps.
Required Experience and Skills
- At least 3 years of experience in sourcing or talent acquisition, with direct ownership of proactive pipeline generation.
- Deep CRM experience, including segmentation, nurture campaigns, multi-touch outreach, external data uploads, tagging strategy, and measurable engagement outcomes.
- Strong sourcing capability using Boolean search, LinkedIn Recruiter, niche job boards, association directories, and other creative channels.
- Hands-on Greenhouse experience as both a user and administrator, including job setup, templates, scorecards, permissions, workflows, and reporting.
- Comfort with outreach sequencing, A/B testing, and applying marketing logic to candidate engagement.
- Strong reporting skills, including dashboard creation, data analysis, and interpretation in plain language.
- Clear, concise writing skills for candidate outreach and internal updates.
- Ability to work independently in a remote setting with strong organization and follow-through.
Preferred Background
- Experience in DSO, dental, veterinary, medical, or other multi-location healthcare talent environments.
- Exposure to outbound sourcing platforms and tools.
- Background in employer branding, referral programs, or recruiting marketing work.
- Familiarity with workforce planning, market mapping, or compensation benchmarking.
Physical Requirements
- Ability to sit and work at a computer for long periods.
- Vision sufficient to read screens, documents, and dashboards for extended stretches, with or without correction.
- Manual dexterity to use a keyboard, mouse, and related equipment.
- Ability to communicate effectively by phone, video, email, and messaging with candidates, hiring managers, and internal teams.
- Occasional travel a few times per year for team meetings, recruiting events, or studio visits.
