Role Overview
Tend is transforming the dental experience with carefully designed studios, high-quality clinicians, and technology that removes friction from care. This role sits at the center of that mission by building strong top-of-funnel pipelines for clinical hiring across the company’s expanding studio network. As the Sourcing & CRM Program Manager, you will lead proactive outreach for Dentists, Hygienists, and Dental Assistants, manage the clinical CRM, keep Greenhouse organized and accurate, and approach recruiting with a marketing-style, data-driven mindset.
This is a remote, US-based contract position with the possibility of becoming a contract-to-hire opportunity. The role reports to the VP of Talent Acquisition.
What You’ll Be Responsible For
You will own sourcing strategy for key clinical roles and build qualified, diverse candidate pipelines aligned to studio growth plans and opening timelines. The work goes beyond passive candidate review; it requires active prospecting, targeted engagement, and continuous optimization of messaging and systems.
- Develop and run proactive sourcing plans for Dentists, Hygienists, and Dental Assistants across studio markets.
- Use advanced Boolean search, LinkedIn Recruiter, dental school databases, association directories, niche job boards, and creative sourcing channels to identify passive candidates.
- Screen and qualify prospects, then hand them off to recruiters with clear context and a smooth transition.
- Create tailored, brand-aligned outreach that reflects Tend’s tone and improves reply and conversion rates through testing and refinement.
- Own the clinical CRM by segmenting talent pools, building nurture campaigns, and maintaining candidate engagement over time.
- Design multi-touch outreach sequences based on data such as reply rates, interview conversion, and drop-off points.
- Import and organize contacts from external lists and databases, then tag and segment them correctly inside the CRM.
- Support employer brand work, referral programs, and recruiting events in partnership with the VP of Talent Acquisition.
- Maintain clean candidate records and ensure reporting, market insights, and pipeline views remain accurate and usable.
- Act as a Greenhouse power user and administrator by managing templates, scorecards, approval workflows, permissions, and reporting dashboards.
- Protect data integrity in the ATS, coach the team on consistent usage, and monitor stage movement for accuracy.
- Build recruiting dashboards and reports that show pipeline health, sourcing channel performance, conversion metrics, and time-to-fill.
- Support evaluation and improvement of sourcing and recruiting tools as the team’s technology stack changes.
- Track dental talent market trends, compensation shifts, competitor activity, and labor data to inform hiring strategy and outreach.
- Contribute to a fast-moving, high-quality recruiting culture by sharing sourcing wins, improving candidate experience, and supporting teammates.
What Tend Is Looking For
The ideal candidate combines sourcing depth with the instincts of a marketer. You should be comfortable thinking in terms of segments, sequences, and conversions, while also being able to work independently in a remote environment and keep systems highly organized.
- At least 3 years of experience in sourcing or talent acquisition, with real ownership of proactive pipeline generation.
- Deep CRM experience, including segmentation, nurture campaigns, multi-step outreach, external data uploads, tagging strategy, and engagement tracking.
- Strong sourcing ability using Boolean search, LinkedIn Recruiter, niche boards, association directories, and other inventive channels.
- Practical Greenhouse experience in both user and administrator capacities, including setup, templates, scorecards, permissions, workflows, and reporting.
- A marketing-oriented approach to outreach, including A/B testing and funnel conversion thinking.
- Comfort with dashboards, reporting, and explaining funnel data in clear business language.
- Excellent written communication skills for candidate outreach and internal updates.
- Self-directed, organized, and effective in a remote work setting.
Preferred Background
- Experience in DSO, dental, veterinary, medical, or other multi-site healthcare hiring environments.
- Experience using outbound sourcing tools.
- Exposure to employer branding, referral programs, or recruiting marketing efforts.
- Familiarity with workforce planning, market mapping, or compensation benchmarking.
Physical Requirements

Pay Information
The hourly pay range for this contract role is $35 to $45 USD per hour.
