About the Role

Join Vestas, a global leader in wind power solutions, as a Site Administrator supporting operations at wind farm locations in Bald Hills, Victoria, and Tasmania. This role involves vital administrative support to the Site Manager and team to keep site functions running efficiently.

Key Responsibilities

  • Manage financial processes including raising and monitoring purchase orders for site activities, ensuring prompt invoice payments, handling vendor communications, and maintaining all related registers and tracking systems.
  • Coordinate logistics for vehicles, accommodation, and travel by booking and tracking site vehicles, sourcing short- and long-term accommodation, managing travel arrangements through internal systems, and keeping corresponding records.
  • Oversee inbound and outbound freight by ordering, tracking spare parts and consumables, managing goods receipt, and general freight organization.
  • Attend scheduled meetings, accurately record minutes, and systematically file documentation.
  • Ensure corporate credit card expense reconciliation and maintain an up-to-date expense register with timely reporting.
  • Support Health, Safety, and Environmental (HSE) measures by procuring personal protective equipment (PPE), emergency supplies, and managing training and room bookings.
  • Adhere to company policies, HSE guidelines, and Key Performance Indicator (KPI) targets.
  • Perform additional administrative tasks as required to support site operations.

Candidate Profile and Qualifications

  • Minimum five years’ experience providing administrative assistance, preferably in project-based environments.
  • Proficiency in advanced Excel and Word functions.
  • Experience with SAP software is highly advantageous.
  • Demonstrated capability to provide project administration for large-scale projects.
  • Strong stakeholder management skills and ability to communicate effectively.
  • Highly self-motivated with multitasking capabilities and ability to operate independently.
  • Experience managing responsibilities under pressure.
  • Understanding of transport and logistics operations within the local market.
  • Skilled in report preparation and presentation.
