Job Purpose

This role is designed to provide comprehensive administrative and logistical support for construction site operations. The primary objective is to ensure that all site documentation, communication, and reporting obligations are met efficiently, and that the site office functions seamlessly. The Site Administrator will serve as a crucial link between project teams, subcontractors, and suppliers, contributing to the successful completion of construction projects.

Key Responsibilities

  • Provide essential administrative support, including organizing and maintaining project documentation such as contracts, permits, inspection records, and compliance reports.
  • Prepare and disseminate various reports, including daily, weekly, and monthly updates on site activities, personnel attendance, and project progress.
  • Maintain and update project schedules, tracking key milestones for reporting to site and project management.
  • Ensure all documentation is meticulously filed according to company protocols and regulatory standards.
  • Manage records pertaining to safety inspections, training certifications, and incident reporting.
  • Process timesheets, attendance data, and payroll information for site staff.
  • Serve as a primary point of contact, facilitating communication among project managers, subcontractors, suppliers, and site personnel.
  • Organize and coordinate meetings, site inspections, and safety briefings, ensuring minutes are recorded and distributed.
  • Assist with site logistics, managing deliveries, access control, and the onboarding of subcontractors.
  • Support procurement efforts by ordering necessary site materials, equipment, and office supplies.
  • Monitor inventory levels and liaise with procurement departments to ensure sufficient stock.
  • Verify supplier invoices and submit them for approval and processing.
  • Maintain current health and safety documentation and site records.
  • Contribute to ensuring all personnel adhere to site health, safety, and environmental regulations.
  • Coordinate emergency drills and maintain up-to-date emergency contact information.
  • Accurately enter and manage data within project management and company systems.
  • Generate reports on project advancement, budget adherence, and resource allocation.
  • Assist in tracking project expenditures and maintaining financial records.

Skills and Experience

  • A minimum of two years of experience in an administrative capacity.
  • Prior experience within the construction industry is a mandatory requirement.
  • Demonstrated familiarity with construction processes, documentation requirements, and compliance standards.
  • Proficiency in the Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience with construction or project management software is considered an advantage.

Additional Information

This is a full-time, onsite position located in County Waterford, Ireland.
