About the Role

The Specialist - Infrastructure and Facilities Management (IFM) at the bank oversees all operational aspects related to infrastructure and facility services. This critical position ensures seamless daily maintenance and facility administration, thereby enhancing the bank’s overall operational efficiency.

Key Duties and Responsibilities

  • Oversee essential services including reception, security, maintenance, mail handling, archiving, cleaning, catering, waste management, and recycling.
  • Maintain and ensure the readiness of basic facility amenities.
  • Apply performance management processes to track service levels, report on achievements, and drive continual improvements.
  • Ensure facilities comply with applicable government regulations and internal standards.
  • Forecast and plan for future facility requirements to support the bank’s operations.
  • Follow bank protocols for reporting facility-related activities and status.
  • Manage refurbishments, renovations, and necessary repairs or replacements within facilities.
  • Prepare and manage budgets, analyze expenditures, contracts, and procurement with periodic reporting.
  • Generate tender documents and coordinate contractor selection processes.
  • Collaborate with external vendors to deliver efficient administrative support services.
  • Establish and enforce Standard Operating Procedures (SOPs) to maintain a critical operational environment and ensure site compliance.
  • Plan and monitor facility management staffing levels to optimize resource utilization.
  • Conduct training sessions for on-site teams regarding equipment and operational protocols, ensuring all planned training is completed.
  • Communicate safety measures effectively to all employees and cultivate a safety-conscious workplace.
  • Develop contingency strategies for emergencies such as unexpected equipment failures.
  • Facilitate knowledge sharing of best practices within the facility management team.

Additional Responsibilities

  • Work jointly with business and support units to provide necessary materials and services to aid their daily functions.
  • Stay informed on global market developments and competitor strategies in relevant sectors.

Required Qualifications and Experience

  • Academic background including graduation in Commerce (B.Com), Science (B.Sc), Arts (BA), Business & Insurance (BBI), or Management Studies (BMS).
  • Postgraduate qualifications such as MBA or PGDM are preferred.
  • A minimum of two years’ experience in a relevant facility or infrastructure management role.

  • Exemplary leadership and management capabilities.
  • Expertise in monitoring key performance indicators like productivity, recruitment quality, and cost management using scorecards.
  • Proven ability to attract, develop, and retain talented personnel for critical positions.
  • Strict adherence to standardized benchmarks and procedures for commercial considerations and key operational measures.
