Job description
Overview
The Senior Payroll Clerk functions with minimal supervision and holds responsibility for processing one or multiple payrolls within the School District. This position entails cooperative interaction with colleagues and members of the public.
Core Responsibilities
- Calculate, input, and maintain records concerning new hires, employee status changes, work hour modifications, terminations, and leave accruals.
- Review Human Resources Personal Information Forms prior to input, reconciling discrepancies as needed.
- Accurately generate payroll calculations, prepare payroll registers and related reports, complete payroll by deadlines, and reconcile net pay accounts.
- Maintain thorough understanding of employee contracts and collective agreements.
- Keep detailed records and apply necessary adjustments for sick leave, vacation, increments, absences, payroll deductions, earnings, and Workers Compensation Board payments; complete employer forms required by WorkSafe BC.
- Compute earnings for employees pertinent to WorkSafe BC.
- Ensure accuracy and collection of timesheets, absence reports, and leave applications before processing entries.
- Assist district staff in utilizing electronic timesheets and other payroll-related electronic systems.
- Communicate effectively with internal departments and external parties on payroll issues.
- Process Records of Employment upon interruptions of earnings or as requested.
- Compute termination payouts including sick leave and vacation balances.
- Prepare payments and remittances to external agencies as necessary.
- Maintain and generate payroll-related pay statements.
- Handle corrections such as cancelling and reissuing payrolls in cases of overpayment or underpayment.
- Prepare reports and manage short-term disability claims and payments.
- Enter data related to length of service, retroactive adjustments, pension, WorkSafe adjustments, retroactive service, and recover overpayments from employees.
- Support the Payroll Manager in various tasks as required.
- Perform additional duties as assigned.
Required Qualifications and Skills
- Completion of Grade 12 or equivalent education.
- Successful completion of 4 courses recognized as equivalent to the Payroll Compliance Program (PCP).
- Minimum five years of experience in a large automated payroll environment, with at least two years within the last five years.
- Intermediate proficiency in Microsoft 365 and other relevant software applications.
- Intermediate knowledge of database and general computer operations.
- Keyboarding skills at 50 words per minute or demonstrated competence.
- Strong familiarity with payroll applications, union agreements, statutory requirements, Revenue Canada, and WorkSafe regulations.
- Sound knowledge of business English, punctuation, spelling, and business mathematics.
- Understanding of office practices and procedures.
- Strong interpersonal abilities, providing professional support to employees and representing the payroll department effectively.
- Ability to cultivate and sustain positive, effective teamwork relationships.
- Capability to operate effectively in a fast-paced, high-pressure setting while handling frequent interruptions.
- Discretion and confidentiality in handling sensitive school district matters.
- Excellent communication skills both verbal and written, coupled with customer service orientation towards the public and district staff.
- Capacity to multitask, prioritize, self-motivate, and meet deadlines reliably.
- Detail-oriented with the ability to focus intensely over sustained periods to meet deadlines.
