Job description
Opportunity
The HR Services unit is looking for a professional who can keep the university’s HR management platform accurate, current, and fully aligned with internal policy and governing guidelines. This role ensures employee records, pay, and benefits are handled promptly and correctly to support smooth day-to-day operations. It also serves as a key point of expertise for core HR systems and data administration.
Responsibilities
- Review employee files to verify vacation tickets, special allowances, cash housing, and other benefit-related records.
- Make sure all payroll documents and any records tied to an employee’s assignment, salary, or benefits are properly stored in the personnel file.
- Monitor contract expiry dates and close out records for employees who leave the organization.
- Enter and maintain employee data in Oracle for new joiners, transfers, promotions, and other staffing changes.
- Work with the Senior Payroll and Reporting Specialist to create and maintain position records in Oracle.
- Keep employee assignment information current and accurate in the system, including position details, job data, probation end dates for new hires, Emirates ID, and contact information.
- Maintain the employee reporting structure in Oracle.
- Share updated employee details with IT for the Outlook e-signature block.
- Prepare position reports, the Zayed University employee list, and other Fusion system reports as needed.
- Stay current on payroll, benefits, and Employee Self Service systems.
- Carry out pre-final payroll checks before payroll is processed.
- Handle cash-in-lieu vacation ticket requests and confirm employee eligibility for the benefit.
- Process reimbursement or recovery requests for Emirates ID and visa fees submitted by employees.
- Prepare cheque payments for international new hires.
- Update bank details for new and existing employees.
- Manage cash housing updates and any other allowance or recovery adjustments.
- Assist the Senior Payroll and Reporting Specialist with payroll processing.
Requirements
- A bachelor’s degree in Information Technology or Human Resources Management from an accredited institution.
- At least 3 years of relevant work experience, or an equivalent mix of education and experience.
- Strong data management capability and advanced Excel skills.
- Ability to document processes clearly and improve workflow design.
- Solid knowledge of HR systems.
- Comfortable working in a fast-moving, high-volume environment with shifting deadlines.
- Excellent written and spoken English.
