About the role
This position focuses on managing the organization’s inbound and outbound correspondence and ensuring that letters, circulars, decisions, and related documents are handled in an orderly, timely, and professional manner.
Responsibilities
- Support the day-to-day management of all inbound and outbound communication activities across the organization.
- Help establish a process for receiving outbound correspondence that must be sent to external entities.
- Record outgoing communications and correspondence, and maintain both physical and electronic archives.
- Prepare and organize outgoing correspondence and incoming decisions appropriately before they are forwarded to the relevant parties.
- Create a method for distributing circulars and decisions issued by the organization to the concerned entities.
- Develop procedures for handling incoming correspondence and ensuring it is delivered to the relevant department or employee inside the organization in a professional and timely way.
- Assist in processing high-priority correspondence according to urgency and importance.
- Handle the registration and archiving of incoming correspondence, both in paper and digital form, including circulars and decisions issued by the senior official.
- Support the sorting and classification of all incoming correspondence.
- Contribute to organizing all outgoing and incoming communications and documents in line with the document and archives system, its implementing regulations, and in coordination with the organization’s document and archives center.
- Comply with workplace controls, conduct standards, cybersecurity policies, and the procedures of the organizational unit.
- Perform any other duties assigned by direct supervisors.
Requirements
- Bachelor’s degree in Business Administration or another field related to the role.
- At least 4 years of experience in the same area of work.
Additional information
The role requires close coordination with internal departments and the document and archives center, with careful handling of records in both paper and electronic formats.
The employee is expected to follow the organization’s document retention framework, cybersecurity requirements, and internal operating procedures at all times.
