Job description

Role Overview

The Senior Executive of Volunteer Management is tasked with overseeing the complete volunteer engagement lifecycle. This includes recruiting, onboarding, training, retaining, and recognizing volunteers while aligning efforts to the organization's mission and operational needs. The role collaborates closely with program leaders to deploy volunteers efficiently and compliantly. The Senior Executive will also serve as the primary liaison for corporate volunteers, individual volunteers, and Campus Chapters, if applicable.

Key Responsibilities

  • Lead volunteer recruitment and onboarding by designing campaigns to attract a diverse and skilled pool of volunteers.
  • Establish and nurture partnerships with educational institutions, corporate bodies, and community organizations to broaden the volunteer base.
  • Conduct volunteer screening, interviews, and appropriate role matching to ensure a good fit.
  • Facilitate smooth onboarding processes, including organizational introductions and program-specific briefings.
  • Collaborate with Communications & Marketing and Resource Development teams to implement membership campaigns and other promotional activities.
  • Work hand-in-hand with the Programs team for volunteer recruitment and briefing efforts.
  • Develop and sustain volunteer engagement through ongoing training and recognition programs to ensure program longevity and readiness for emergency activations.
  • Create initiatives that foster volunteer motivation, appreciation, and retention through recognition efforts.
  • Promote a positive and inclusive volunteer culture emphasizing belonging and purpose.
  • Manage feedback mechanisms to enhance the volunteer experience and implement corrective actions where necessary.
  • Identify growth opportunities for long-term volunteers to take on leadership or specialized roles.
  • Select volunteer candidates for featured stories and media representation as needed.
  • Respond promptly to inquiries about volunteering sessions and maintain meticulous volunteer data in CRM systems and other platforms.
  • Ensure adherence to laws, safeguarding policies, data privacy standards, and health & safety regulations.
  • Formulate backup staffing plans to guarantee continuous program delivery.
  • Coordinate administrative tasks such as collecting waiver forms, managing invoices and receipts related to volunteers and corporate partners.
  • Oversee post-session communications including thank-you notes and gathering feedback to improve future sessions and recruitment strategies.
  • Represent the organization at external events, meetings, and conferences, promoting brand values and thought leadership.
  • Collaborate internally to align volunteer support with departmental needs.
  • Maintain comprehensive volunteer records and analyze participation data to inform strategic decisions and reporting.
  • Prepare regular volunteer participation and program reports for the Board and regional/international counterparts.
  • Perform other duties assigned by the National Director.

Ideal Candidate Profile

  • Holds a tertiary qualification with a minimum of two years’ experience in volunteer engagement within charity, social services, or the non-profit industry.
  • Has a proven track record of designing and executing effective volunteer programs.
  • Demonstrates strong commitment to upholding and communicating the organization’s values and mission.
  • Is hands-on and willing to participate directly in field activities as required.
