Role Overview
Join the Executive Services Team, a vital unit within the Office of the Director-General, where your client-facing expertise and interpersonal abilities will be key to delivering advanced support and advice to the public. This role demands competence in preparing and managing executive documentation within a challenging, fast-paced environment characterized by heavy workloads and strict deadlines.
Key Responsibilities
- Serve as a vital administrative connection between the department and the Minister's Office, ensuring seamless flow of precise, relevant information and manage a high-volume electronic mailbox efficiently.
- Organize and oversee ministerial and Director-General engagements, including meetings, events, travel plans, and deputation briefs, drafting itineraries, coordinating briefing materials, and liaising with stakeholders across all departmental areas.
- Plan and administer departmental events, community forums, Ministerial Councils, Committee Meetings, and related briefings, securing necessary approvals within established time frames.
- Collaborate with other government agencies to facilitate coordinated meeting and travel responses, maintaining a cohesive whole-of-government and departmental focus.
- Comprehend and support Ministerial Office and Director-General requests by facilitating timely and suitable departmental responses while managing sensitive and confidential matters with utmost professionalism.
- Review correspondence, briefings, and executive documents to ensure compliance with Minister's Office expectations and departmental policies.
- Provide high-level assistance to clients making inquiries or lodging complaints involving sensitive departmental issues, supporting Principal Departmental Liaison Officers and Senior Executive Officers.
- Foster and maintain productive relationships with ministerial personnel, departmental executives, key officers, and stakeholders to enhance communication, collaboration, and coordination.
- Contribute to cultivating a client service-oriented culture focused on excellence and continuous improvement.
- Support the Executive Services Manager and team with additional duties including system and procedure reviews, quality assurance, records management, and other fundamental business operations.
Additional Information
Applications for this position will be retained for a period of 12 months. This role falls under the Occupational Group Administration.
