About the Role
The Senior Executive Assistant serves as a trusted extension of the CEO, managing the executive's time and priorities to facilitate focus on impactful tasks. This position requires adept handling of multiple demands, driving initiatives forward, and eliminating barriers, all within a fast-paced, high-accountability setting characterized by direct communication. The role involves extensive interaction with executive leadership and external partners, demanding professionalism, discretion, and high visibility trust.
Key Responsibilities
- Manage and optimize the CEO’s calendar to ensure alignment with critical business objectives and allot preparation periods.
- Proactively resolve scheduling conflicts and prioritize tasks strategically with minimal supervision.
- Ensure the CEO is well-prepared by providing relevant contextual information.
- Act as primary coordination liaison for the CEO, facilitating smooth communication.
- Draft precise and executive-level correspondence consistent with the CEO’s communication style.
- Enable efficient CEO access, particularly within the executive leadership team.
- Secure follow-up on important communications and commitments.
- Monitor priorities, deadlines, and deliverables to guarantee timely execution and accountability.
- Take initiative to advance key priorities when required, ensuring progress continues smoothly.
- Organize and manage executive meetings and offsite events, including travel arrangements where necessary.
- Prepare structured agendas and compile diverse supporting materials to facilitate outcomes and actions at meetings.
- Document clear and actionable meeting notes and track decisions for effective execution.
- Coordinate complex travel logistics proactively to prevent issues and ensure efficiency.
- Identify operational inefficiencies and introduce clarity and structure while maintaining simplicity.
- Support leadership alignment to propel initiatives and priorities forward.
- Maintain executive presence with discretion and professionalism, knowing when to intervene if needed.
Qualifications and Skills
- 7 to 10+ years of experience supporting a CEO or senior executive.
- Demonstrated strong judgment and independent prioritization capability.
- Excellent written and verbal communication skills.
- Outstanding organizational aptitude with strong follow-through ability.
- Capacity to adapt swiftly in dynamic, fast-paced environments.
- Advanced proficiency in Microsoft Office suite; knowledge of Concur travel software is advantageous.
