The Executive Assistant will support the Corporate Vice President (CVP), serving as a trusted partner to maximize the executive's impact. This role involves managing complex agendas, strategic coordination, and being the point of contact among the leadership team, business partners, and key stakeholders. The position requires professionalism, discretion, sound judgment, and business insight to manage competing priorities efficiently in a dynamic setting.
Responsibilities
- Oversee the CVP's calendar and priorities to focus on high-impact tasks, coordinating meetings, engagements, leadership reviews, and external commitments.
- Collaborate with the Chief of Staff, Business Manager, Communications Lead, and leadership to maintain consistent operational rhythms, plan events, and track follow-ups.
- Manage executive correspondence and facilitate communication flow between the CVP and internal/external stakeholders, ensuring confidentiality and professional representation.
- Plan and execute executive travel, customer meetings, leadership events, board meetings, and strategy sessions with seamless logistics and documentation.
- Drive operational excellence within the CVP's office, including budgets, procurement, expense compliance, administrative processes, and identifying areas for workflow improvement.
Qualifications
- Minimum 7 years of experience in administrative, business support, or customer service roles involving event scheduling, travel coordination, and executive-level administration.
- Exceptional written and verbal communication capabilities.
- Experience supporting senior executives such as General Managers, Vice Presidents, or C-suite leaders is preferred.
- Skilled in managing complex calendars, travel plans, and stakeholder coordination.
- Strong organisational, prioritisation, and project management skills.
- Capable of handling sensitive information with utmost discretion and professionalism.
- Ability to influence without direct authority and build cross-functional relationships.
- Possess sound business judgment and executive presence.
- Experience working within large, matrixed global organisations.
- Advanced knowledge of Microsoft 365, Teams, Outlook, Copilot, and related productivity applications.
