Position Overview

The Senior Executive Assistant to the CEO acts as a highly trusted partner, delivering executive, administrative, and personal support so the CEO can stay focused on OneApp’s most important priorities. This position handles both professional and private responsibilities with strong discretion, structure, and judgment.

The role is responsible for managing the CEO’s business and personal schedules, coordinating travel and logistics, handling communications, predicting needs in advance, and making sure commitments are carried out smoothly. The ideal candidate is highly proactive, adaptable, resourceful, and able to keep information completely confidential. This person functions as an extension of the CEO and represents both the CEO and OneApp with professionalism, integrity, and sound decision-making.

To succeed here, you must consistently anticipate needs before they are stated, use excellent judgment, and independently resolve issues while keeping the CEO informed when attention is required.

Key Responsibilities

  • Act as the CEO’s main administrative partner and keep daily priorities organized and moving forward.
  • Manage the CEO’s business, personal, family, and travel calendars while balancing competing demands.
  • Spot calendar conflicts early and resolve them before they create issues.
  • Prepare meeting materials, including agendas, briefing notes, presentations, and supporting documents.
  • Join meetings when needed, capture action items, and coordinate follow-through.
  • Monitor commitments and help ensure key deadlines are completed on time.
  • Arrange personal appointments, reservations, and other scheduling needs.
  • Plan domestic and international business and personal travel, including flights, accommodations, ground transport, dining, and backup arrangements.
  • Coordinate household vendors, maintenance visits, and personal service providers.
  • Handle personal purchases, gifts, subscriptions, reimbursements, and similar administrative tasks.
  • Complete confidential business and personal errands as needed.
  • Support family logistics and other private priorities as requested.
  • Protect the confidentiality of company information, personal matters, finances, schedules, and family details at all times.
  • Serve as the main contact for internal and external communication on behalf of the CEO.
  • Draft, edit, and proofread emails, presentations, reports, correspondence, and other executive communications.
  • Review incoming requests and judge the urgency and appropriate response.
  • Use strong judgment to prioritize competing demands on the CEO’s time.
  • Build and maintain trusted relationships with executives, employees, board members, investors, partners, vendors, and other stakeholders.
  • Act as the liaison between the CEO and business or personal vendors.
  • Coordinate with household service providers and outside partners to ensure tasks are completed accurately and on schedule.
  • Represent the CEO and OneApp professionally in every interaction.
  • Take part in company events and initiatives that support culture and employee engagement.
  • Adapt to changing business and personal priorities, take on confidential matters and special projects, and provide additional support as needed for the CEO and the organization.

Requirements

  • Must live in the Portland Metro Area.
  • Strong organizational and time-management abilities.
  • Excellent written, verbal, and interpersonal communication skills.
  • High emotional intelligence and mature professional judgment.
  • Comfort with Google Workspace, Microsoft Excel, and project management tools.
  • Ability to manage several competing priorities independently in a fast-moving environment.
  • Proven ability to anticipate needs, solve problems early, and execute with little supervision.
  • Comfort handling both executive business work and personal matters while maintaining strict confidentiality.
  • Strong professionalism, integrity, discretion, and attention to detail.
  • At least 5 years of experience supporting a CEO, Founder, President, or another C-level executive in a Senior Executive Assistant, Executive Assistant, or similar role.
  • Experience handling confidential personal matters alongside executive support is strongly preferred.
  • Bachelor’s degree in Business Administration, Management, Communications, or a related field is preferred.
  • This is primarily a remote role, but it requires flexibility to travel, work on-site, visit the CEO’s residence when needed, and handle both business and personal errands as required.
