About the Role
We are looking for an outstanding Senior Executive Assistant to support top-level leadership within a highly sophisticated and performance-driven family office. This opportunity is ideal for a seasoned Executive Assistant who excels as a strategic partner, trusted advisor, and effective extension of C-suite executives. The preferred candidate possesses extensive experience supporting founders or senior executives, particularly in family offices or similarly exclusive private environments.
Key Responsibilities
- Act as a trusted strategic partner by managing intricate calendars, adapting to shifting priorities, and overseeing daily executive operations.
- Coordinate efficiently across various teams including executive, residential, business, hospitality, security, technology, and external stakeholders to ensure smooth execution of priorities.
- Proactively predict executive needs, resolve issues, and facilitate a seamless daily workflow.
- Organize comprehensive domestic and international travel arrangements, including private aviation, customized itineraries, accommodations, ground transportation, and travel documents.
- Draft and prepare executive communications, presentations, meeting materials, and briefing documents with meticulous attention to detail.
- Monitor project progress, manage follow-ups, and guarantee timely completion of tasks across multiple parties.
- Serve as the main liaison among executives, advisors, vendors, and internal teams, maintaining utmost confidentiality.
- Maintain highly organized systems and safeguard sensitive and confidential information.
- Promote a collaborative and service-focused workplace culture through productive engagement with a diverse professional network and support personnel.
- Demonstrate outstanding judgment, adaptability, and professionalism in a fast-evolving and dynamic setting.
Qualifications
- Minimum of 10 years’ experience as an Executive Assistant to founders, CEOs, principals, or senior executives.
- Strong preference for candidates with experience in family offices, estates, private offices, or other exclusive executive settings.
- Prior leadership or mentoring experience of small administrative teams.
- Demonstration of career longevity and stability in prior executive support roles.
- Extensive expertise in managing complex executive schedules and global travel logistics, including private aviation.
- Exemplary judgment, emotional intelligence, and discretion.
- Excellent verbal and written communication abilities.
- Exceptional organizational skills with capacity to handle multiple priorities effectively.
- A service-oriented attitude with hospitality-driven approach and a humble, team-oriented mentality.
- Resourceful, proactive, highly detail-focused, and capable of anticipating needs.
Additional Information
Location: This is a fully onsite position based in New York City.
Compensation: The salary range is $180,000 to $225,000 annually, complemented by a full benefits package fully covered by the employer.
