Role overview
This is a two-year contract role supporting administrative operations within the School of Business & Accountancy.
Key responsibilities
- Oversee administration for CET FQ and SC activities.
- Plan and coordinate FQ and SC schedules, including trainer arrangements and venue booking.
- Administer trainer access to systems and platforms such as POLItemall and STEP.
- Compile and maintain learning resources, documents, reports, and records for FQ and SC, including module descriptions, teaching plans, and module review reports.
- Monitor and summarise training hours completed for CET SC programmes.
- Respond to administrative queries from adult learners, trainers, and enterprise clients in a prompt and professional way.
- Assist with operational setup before FQ commences, such as detailed teaching plans and assessment components.
- Support attendance recording for FQ and SC in STEP.
- Help coordinate assessments or evaluations when required.
- Gather feedback and handle post-course documentation and follow-up tasks.
- Enter and tabulate data such as marks and GPA for reporting needs.
- For FQ programmes with on-the-job training, coordinate learner placements with companies.
- Support CET-related events, including outreach activities, course briefings, workshops, seminars, and enterprise engagement sessions.
- Manage event scheduling, communications, and post-event administration and records.
- Liaise with internal teams such as tutors, finance, and CET Academy to keep CET operations running smoothly.
- Coordinate with external trainers, partners, and vendors as needed.
- Track projects and schedules.
- Carry out other administrative work and projects assigned to support CET and school operations.
Requirements
- Prior administrative experience is needed, ideally in CET, education, or the public sector.
- Strong organisation skills and careful attention to detail are important.
- Ability to handle several tasks at once in a structured and efficient manner.
- Good written and verbal communication, with strong interpersonal skills for dealing with adult learners, trainers, and enterprise stakeholders.
- Comfortable using office productivity software and administrative systems.
- Able to work both independently and as part of a team in a busy operational setting.
Additional information
This role is based in Singapore and is offered on a full-time onsite basis. It is a 2-year contract position.
