Job description
Overview
This role supports the Community Management team in overseeing Owners' Associations (OAs), ensuring compliance with laws relating to jointly owned properties. The incumbent will be involved in community operations, stakeholder engagement, financial administration, and maintaining effective relations with owners, residents, board members, contractors, and service providers.
Key Responsibilities
- Conduct routine site inspections focusing on health, safety, and environment concerns.
- Coordinate service providers and evaluate their performance via inspections and reporting.
- Maintain and update community action trackers, following up on pending issues.
- Supervise third-party contractors, verifying completion prior to approval.
- Manage service requests and issue violation notifications related to the community.
- Assist in weekly operational meetings and compile related reports.
- Contribute to emergency incident management and client liaison activities.
- Provide day-to-day operational support for buildings and community services.
- Ensure execution of capital improvement projects as authorized.
- Address owner and resident inquiries through various communication channels including email, phone, and in-person visits.
- Enforce community regulations and recommend enhancements to boost resident satisfaction and operational effectiveness.
- Communicate maintenance plans and service disruptions proactively.
- Maintain accurate records for tenants and community portals.
- Assist with organizing community events, board meetings, and AGMs.
- Coordinate access to properties for inspections and projects.
- Review financial details with the Community Management team, assist in budgeting and managing service charges.
- Maintain essential community documentation and records.
- Process requests for advertising and flyer distributions.
- Support procurement activities including tenders, requisitions, and purchase orders.
- Liaise with Finance on payments and service charge matters.
- Assist with insurance claims, reimbursements, and tracking property damages.
- Prepare meeting minutes, reports, and maintain administrative documentation.
- Support revenue collection processes, invoicing, receipting, and coordination of vendor payments.
- Provide general secretarial and administrative support to Owners' Association management.
Qualifications and Experience
- Possession of an undergraduate or graduate degree.
- Certification in Basic Community Management from a recognized institute is advantageous.
- At least three years’ experience in Front Office operations within the hotel industry.
- Strong oral and written communication skills in English, with Arabic proficiency preferred.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Excellent organizational and time management skills with a proactive approach to work.
- Ability to work independently with minimal supervision.
