Job Overview
The Senior Administrator - Scheduler plays a crucial role in delivering exemplary customer service while coordinating effectively with both the Field Service Team and internal departments. This position ensures optimal scheduling, practice excellence, and operational efficiency within the service and commissioning engineering teams.
Key Responsibilities
- Coordinate the scheduling of all service labor appointments for Service & Commissioning Engineers, planning work proactively and responding swiftly to emergency breakdowns.
- Assign engineers based on skill sets to maximize daily utilization, ensuring engineers have a full workload.
- Drive service revenue by meeting monthly service labor targets and accurately forecasting upcoming demand.
- Maintain and regularly update the Service Board to reflect the latest scheduling information.
- Handle all customer schedule inquiries professionally and promptly, ensuring closure of all queries.
- Keep customers informed of progress throughout service delivery.
- Prepare and issue quotations for breakdowns and emergency response services, following up effectively.
- Support scheduling function efficiency through administrative tasks.
- Provide engineers with clear, detailed instructions including job scope, duration, contact information, and job type.
- Confirm that all necessary spare parts or equipment are onsite prior to engineer arrival.
- Procure non-stock service spare parts as required.
- Process invoicing upon job completion.
- Assist other service team functions with administrative and ad hoc tasks as needed.
- Provide backup support and coverage for the scheduling function during absences.
- Participate in company stock audits and general reporting activities.
Qualifications and Experience
- A business degree is preferred but not mandatory.
- Minimum of 2-3 years’ experience in a similar scheduling role.
- Previous experience managing engineers’ schedules effectively.
- Strong verbal and written communication skills for effective interactions with customers and team members.
- Ability to perform under pressure and meet strict deadlines.
- Excellent analytical, problem-solving, and decision-making abilities.
