About the Role
We are recruiting four experienced administrators for a significant mixed-use megadevelopment project in Abu Dhabi. The ideal candidates are meticulous and organised professionals skilled in safety documentation, permit management, and LOTO (Lockout/Tagout) administration within industrial or construction settings. This role involves supporting general administrative work and assisting departments such as Commissioning and Electrical Safety and Switching Work (ESSW) by managing records, permit documentation, trackers, and audit support.
Key Responsibilities
- Maintain accurate administrative files, registers, trackers, templates, and controlled documents.
- Manage task trackers, action logs, and progress updates for assigned teams or projects.
- Serve as the Single Point of Contact for designated departments, coordinating between office and site teams, commissioning, ESSW, LOTO representatives, safety teams, and other stakeholders.
- Support LOTO and ESSW permit administration by verifying submitted permit documents for completeness, proper authorization, and required information before review.
- Keep updated permit registers, including open/closed permit status, lock/tag tracking data, and associated logs.
- Coordinate with permit requesters, approvers, field personnel, and the LOTO Coordinator to ensure timely updates, extensions, cancellations, closures, and archiving of permits.
- Archive commissioning, ESSW, and permit documents according to audit, compliance, and project standards.
- Report any missing information, discrepancies, incomplete paperwork, or compliance issues to the appropriate managers or authorized staff.
Candidate Requirements
- Bachelor's degree in Computer Science or Diploma in Computer, Engineering, Safety, or a related discipline.
- Certification in LOTO/ESSW awareness is preferred.
- A minimum of two years of experience in safety documentation, permit systems, or LOTO administration within industrial or construction projects.
- Strong document control and documentation management expertise.
- Practical experience with Aconex and Zutec software platforms.
- Good understanding of permit management workflows and systems.
- Proficiency in Microsoft Office applications; certification is advantageous.
