Role Overview

In this role, you will oversee the complete sales order journey across Asia distributor and commercial channels. The position is centered on supporting distributor and channel partner orders from initial receipt all the way through delivery, returns and dispute handling, and performance tracking. You will work closely with Commercial Planning, Finance, Operations, and third-party logistics partners to keep master data accurate, ensure orders are handled correctly, and deliver a reliable distribution experience.

Key Responsibilities

  • Handle distributor and commercial order processing for both legacy and newly launched products, ensuring each order is checked, approved, and entered in line with required standards.
  • Serve as the main contact for order administration when coverage is needed, such as during a planner’s leave, so operations continue without interruption.
  • Resolve EDI and transmission issues by identifying missing or failed order messages, coordinating corrective action, and confirming successful reprocessing.
  • Keep purchase order documents, pricing and assortment records, and presell SKU setup information current and accurate across systems.
  • Work with 3PL warehouse partners to create outbound deliveries, confirm dispatch readiness, and support day-one launch requirements for Asia distributor rollouts.
  • Arrange distributor and transport bookings, including delivery scheduling with distributors and key accounts and shipment coordination with freight forwarders where needed.
  • Support MDG-related workflows and act as the functional backup for distributor data processes during busy periods or staff absences to maintain smooth onboarding and data accuracy.
  • Assist the monthly demand and supply planning cycle by updating production order and inventory information in the Rolling Forecast file.
  • Coordinate rework order planning by aligning monthly schedules and new product launch needs so inventory is ready at the right time.
  • Handle distributor disputes and return escalations, answer order-related questions, reprocess problematic returns, and work with freight partners on damaged stock recovery.
  • Improve operational workflows and support projects by streamlining booking processes and helping implement tool or process upgrades such as SAP and SharePoint.
  • Create and maintain KPI reports to track order turnaround time, open order age, and launch readiness, and share findings with recommended actions.
  • Maintain product serial number records to support end-customer registration and traceability for warranty and service purposes.
  • Manage FTA processing for active routes, including the required paperwork and certificates of origin so shipments can qualify for preferential duty treatment.

Candidate Profile

You should bring strong sales operations experience, the ability to manage complex order flows, and the confidence to work across multiple teams and systems. The ideal candidate can balance accuracy, coordination, and problem-solving while working independently and improving processes over time.

Requirements

  • At least 6 years of experience in sales operations or sales administration, preferably supporting distributor and channel partner networks in South Asia.
  • Strong background in managing orders end to end, including back-catalog and new-release processing, compliance checks, and backorder handling.
  • Practical experience using ERP and order management tools such as SAP, along with familiarity with EDI workflows and troubleshooting.
  • Good knowledge of outbound logistics, including 3PL warehouse coordination, delivery creation, and transport or booking procedures.
  • Experience managing disputes and returns, including escalation handling and root-cause analysis.
  • Strong analytical skills for defining KPIs, building reports, and using insights to improve performance.
  • Excellent communication and stakeholder management abilities, with the capacity to influence cross-functional teams and guide junior colleagues.
  • Comfort working independently, prioritizing several workstreams, and delivering improvements within established policies and practices.
  • Preferred experience with workflow automation tools and system integrations such as SAP and SharePoint.
  • Exposure to master data governance and data quality controls is an advantage.
  • Lean or Six Sigma continuous improvement experience applied to sales operations or supply chain processes is desirable.
  • Background in consumer electronics, gaming, or fast-moving new product launch environments is a plus.
