About the organisation

Hunter Multicultural Communities is a not-for-profit peak body that supports established, emerging, and newly arrived multicultural communities throughout the Hunter Region. The organisation delivers aged care, meal services, transport, social support, and other community-based programs that help people maintain dignity, independence, and social connection.

About the role

This is a practical coordination position focused on keeping day-to-day service operations running smoothly. Reporting to the Aged Care Services Manager, you will manage rostering, transport arrangements, meal delivery coordination, fleet readiness, and service records across aged care and community programs.

The position is operational and systems-driven. It does not involve case management, supervising staff, or holding budget responsibility.

Key responsibilities

  • Keep clients, carers, employees, and volunteers informed about service changes and urgent schedule updates.
  • Organise staff and volunteer rosters across aged care, meals, and transport services.
  • Plan meal delivery runs, transport routes, vehicle allocation, driver coverage, and daily service activity.
  • Coordinate with the kitchen team on meal preparation timing, packing, labelling, and delivery arrangements.
  • Track vehicle availability and ensure fleet registration, servicing, maintenance, cleanliness, and safety needs are met.
  • Maintain accurate documentation for rostering, meals, transport, incidents, service adjustments, and reporting systems.
  • Take part in the rotating emergency and on-call phone roster.
  • Help create a workplace that is respectful, inclusive, and culturally responsive.

About you

You will do well in this role if you are highly organised, steady under pressure, and able to juggle several priorities at once. The role suits someone with practical coordination experience and a strong sense of service.

Requirements

  • Certificate III or IV in Aged Care, Individual Support, Community Services, or equivalent experience; progress toward completion is also acceptable.
  • Background in rostering, scheduling, logistics, transport coordination, aged care, community services, or a similar operational role.
  • Clear communication skills and the ability to work respectfully with older people, staff, volunteers, carers, and multicultural communities.
  • Strong planning, organisation, and time-management ability.
  • Confidence using rostering, scheduling, transport, reporting, or client management systems.
  • Understanding of confidentiality, client dignity, and culturally responsive service delivery.
  • Team-oriented approach and the ability to work effectively in a multidisciplinary environment.
  • Desirable experience includes CHSP, aged care, meal delivery, community transport, SCHADS, Polixen or similar software, and multicultural service delivery.
  • Must hold, or be willing to obtain and maintain, a current National Police Check.
  • Must hold, or be willing to obtain and maintain, a current Working With Children Check.
  • NDIS Worker Screening Check required where applicable.
  • Current First Aid Certificate, or willingness to obtain one.
  • Current driver’s licence.
  • Any other aged care-related mandatory competencies needed for the role.

Employment conditions

This is a full-time role of 76 hours per fortnight. The position is classified under SCHADS Level 4.1 and includes superannuation and salary packaging.
