About the Role
We are seeking a Retail Operations Specialist to support the Singapore retail network within the Asia Sales Operations team. This position is pivotal in maintaining high operational standards across all stores in Singapore by collaborating closely with the Singapore Divisional Sales Manager (DSM) and reporting directly to the Sales Operations Manager, Asia. The specialist will be the main liaison between store teams, local market leaders, Asia, and global functions to ensure consistent application of retail standards, smooth operations, and robust store support.
Responsibilities
- Support full lease lifecycle management, including renewals and new agreements, ensuring all contracts meet deadlines and administrative criteria.
- Act as the primary operational support contact for Singapore stores, promptly addressing day-to-day operational needs and resolving issues.
- Collaborate with the Singapore Divisional Sales Manager to ensure effective execution of retail priorities and seamless store operations.
- Plan and implement retail operation projects and enhancements across Singapore stores.
- Coordinate and support audit processes followed by corrective actions to elevate operational standards.
- Manage communication to stores via the Pandora Connect app, distributing timely and consistent updates and guidelines.
- Drive adherence and implementation of retail operational standards, policies, and procedures per Pandora guidelines.
- Disseminate pertinent updates and best practices from regional and global retail operation experts to Singapore stores.
- Ensure local adaptation and execution of retail processes in alignment with regional and global stakeholders.
- Lead the rollout of new retail initiatives, systems, and processes across Singapore stores.
- Monitor and guarantee compliance with local regulations, company policies, and operational standards.
- Maintain, update, and communicate operational guidelines effectively to store teams.
- Support and coordinate new store openings, refurbishments, and relocations, ensuring operational readiness.
- Collaborate with cross-functional teams such as Visual Merchandising, IT, Finance, Marketing, and external vendors for store setups.
- Oversee store maintenance operations, promptly resolving issues and managing vendor relationships including cleaning, security, and cash collection.
- Validate quotations, invoices, and service delivery to ensure proper vendor management.
- Provide support for retail systems and digital tools within stores, addressing and escalating system issues as needed.
- Lead the integration and management of retail services like engraving in Singapore, ensuring process implementation and staff guidance.
- Prepare weekly and monthly operational reports for Singapore stores.
- Manage administrative tasks including store supplies ordering, petty cash claims, and license applications and renewals.
- Track key operational activities and support store initiatives.
- Serve as a conduit between store networks, Singapore commercial teams, and Asia/global functions to maintain alignment in standards and initiatives.
- Engage in regional and global retail projects ensuring they are localized and executed effectively in Singapore.
Qualifications and Experience
- A bachelor’s degree or equivalent professional experience is required.
- 1 to 3 years of hands-on experience in retail operations or store support roles is essential.
- Demonstrated knowledge of retail store operations, processes, and standards.
- Experience with multi-store environments is highly preferred.
- Strong organizational aptitude and problem-solving capabilities.
- Ability to juggle multiple priorities efficiently within a dynamic retail setting.
- Excellent communication and stakeholder management skills.
- A proactive, detail- and results-oriented work style.
- Proficiency in MS Office applications, specifically Excel and PowerPoint.
- Adept at working both independently and collaboratively in a fast-paced environment.
