Job description

Role Summary

The Rent Recovery Manager leads the rent recovery process by guiding a team of Rent Recovery Specialists and handling a portfolio of delinquent accounts directly. This is a hands-on management position that combines team supervision, operational oversight, and active collections work. The role focuses on collecting overdue balances from former residents, improving team output, and applying in-house recovery steps before accounts are sent to outside collection vendors. The position also supports leadership with reporting on delinquency patterns, late fee performance, and recovery results.

Key Responsibilities

  • Lead, coach, and develop Rent Recovery Specialists to build strong individual performance and a high-accountability, results-focused team culture.
  • Track daily workflow, calling activity, and portfolio management to keep productivity, follow-up timing, and recovery targets on track.
  • Deliver training, performance feedback, and ongoing coaching to strengthen collection results and employee growth.
  • Own quality assurance for the team’s collection activity, including documentation quality, effectiveness, and compliance with company and regulatory standards.
  • Manage both personal account work and leadership duties according to portfolio size, staffing, and business requirements.
  • Handle an assigned portfolio of former resident accounts aged 1 to 90 days after move-out, including daily outbound collection calls and follow-up.
  • Negotiate payment plans, settlements, and resolution options within company limits to improve recovery and close accounts quickly.
  • Act as the escalation contact for difficult or high-risk accounts and resolve sensitive resident issues with professionalism and discretion.
  • Move accounts forward toward resolution, including write-off or placement with third-party collection vendors when appropriate.
  • Work within approved authority limits for settlements, discounts, write-offs, and vendor placement, escalating exceptions when needed.
  • Apply company rules consistently for payment plans, settlements, write-offs, vendor placement, internal controls, and relevant collection regulations.
  • Review portfolio and team performance, identify patterns and risks, and adjust strategies to improve recovery and reduce aging receivables.
  • Prepare and deliver accurate reporting for leadership on delinquency, late fees, collection results, recovery rates, write-offs, settlements, team performance, and ad hoc needs.
  • Keep account records detailed, compliant, and audit-ready in the collections platform and property management system.
  • Partner with Revenue Management, Operations leadership, Site Teams, property teams, and Accounting on recovery efforts, account resolution, reconciliations, and financial accuracy.
  • Look for ways to improve collection processes, tools, workflows, system usage, and reporting efficiency.
  • Represent the organization in a courteous and professional manner at all times.

Qualifications

  • High school diploma or GED is required.
  • Background in a property management-related field is preferred.
  • 1 to 3 years of leadership, coaching, or supervisory experience in collections, customer service, revenue recovery, or property management is required.
  • 1 to 3 years of experience managing delinquent accounts, payment arrangements, settlements, escalations, and account resolution is preferred.
  • 1 to 3 years of experience preparing and reviewing collections, delinquency, or performance reports for operational decisions is preferred.
  • 1 to 3 years of experience in military housing or property management is preferred.
  • 1 to 3 years of experience using Yardi or another property management system is preferred.
  • Ability to manage team performance through productivity metrics, recovery goals, coaching, and accountability.
  • Strong understanding of collections processes, payment plans, settlements, write-offs, and third-party placement.
  • Working knowledge of property management systems, collections software, and Microsoft Excel.
  • Ability to maintain accurate, compliant, and audit-ready records and documentation.
  • Ability to juggle multiple priorities, balance individual account work with team leadership, and meet deadlines in a high-volume setting.
  • Sound judgment and decision-making skills, including knowing when to work within approval limits and when to escalate exceptions.
  • Understanding of applicable collection laws, company policies, and compliance expectations as relevant to the role.
  • Strong analytical ability to interpret data, spot trends, and recommend practical actions.
  • Strong conflict resolution, negotiation, and problem-solving skills.
  • Ability to manage sensitive resident conversations and escalations with discretion and professionalism.
