Guided by the mission “BEAUTY INNOVATIONS FOR A BETTER WORLD,” the company’s travel retail arm in Singapore manages its global duty-free business and supports growth of Shiseido brands for travelers across airports, downtown duty-free stores, border shops, airlines, and ferries. Its portfolio spans skincare, makeup, and fragrance brands such as SHISEIDO, Clé de Peau Beauté, IPSA, ANESSA, THE GINZA, Drunk Elephant, ELIXIR, NARS, narciso rodriguez, and ISSEY MIYAKE PARFUMS.

Role Overview

The Regulatory Affairs Registration Executive will handle registration processes from start to finish to help ensure product launches, export readiness, and compliance for skincare, makeup, and fragrance items destined for Thailand and Malaysia. The role supports the regulatory affairs team and sits at the point where compliance work meets launch execution. It involves close coordination across brand, marketing, commercial, retailer, agency, and regulatory stakeholders.

Key Responsibilities

  • Own the end-to-end coordination of registration data collection from multiple brand and marketing teams for 7-10 brands, including half-year assortment lists, GWP plans, product names, barcodes, volumes, packshots, artwork, and launch seasons/dates.
  • Work with commercial and sales teams on market launch schedules and follow up on sales-related documents needed for Thailand and Malaysia retailers.
  • Improve and put into practice the follow-up process for missing information so that data requests move to submission faster.
  • Partner with the internal regulatory team to complete technical checks for individual products across 7-10 brands, covering formulas, ingredient lists, artwork, and product classification using OPCB tools and local regulatory rules.
  • Ensure the checked and confirmed product data is handed over smoothly for submission.
  • Prepare, file, and monitor regulatory submissions through retailers, while keeping registration databases current and accurate for both markets.
  • Communicate directly with external partners such as retailers and agencies to submit final registration packages and follow progress.
  • Handle post-registration audit questions and coordinate claim-support documents with the regulatory team, including responses to enquiries from external stakeholders and authorities.
  • Research products and coordinate with internal teams to answer product-related questions accurately, including difficult customs classification information.
  • Support the escalation and resolution of complex regulatory matters with the regulatory team, including audits when needed.
  • Keep regulatory records and documentation well organized across both markets and collaborate closely with the wider Shiseido regulatory community.
  • Carry out any additional tasks needed to support regulatory governance and business continuity.

Requirements

  • A bachelor’s degree in a relevant discipline such as Business Management, Life Sciences, Chemistry, or Cosmetic Science.
  • Background in project management and exposure to FMCG or beauty sectors would be an advantage.
  • Ability to communicate in Thai with Thailand retailers or agencies is preferred.
  • Proven capability to independently manage data coordination work across multiple brands and markets.
  • Strong ownership, attention to detail, and the ability to juggle several priorities under tight deadlines.
  • Solid analytical ability to interpret regulations, directives, and guidelines, along with an understanding of regulatory concepts such as product classification across markets.
  • Strong stakeholder management skills and the ability to work well across different teams and functions.

Additional Information

This is a 1-year contract role based onsite in Singapore. The work focuses on regulatory registration support for Thailand and Malaysia across Shiseido’s travel retail business.
