Job description
Role Overview
The Regional Legal Administrator or Paralegal is responsible for the comprehensive management of the Legal & Compliance Department's administrative activities across regional headquarters and subsidiaries. This role encompasses the organization and filing of legal documents, invoice processing, vendor onboarding, corporate secretarial coordination, and providing general administrative support.
Key Responsibilities
- Coordinate corporate secretarial tasks, ensuring corporate documents for ESP and regional subsidiaries are prepared, signed, notarized, and legalized as needed, while maintaining an up-to-date database of corporate entity information.
- Support Legal & Compliance Counsels in contract administration, managing the contract lifecycle system (DocuSign), and overseeing signing processes between contracting parties.
- Administer legal folders, handle invoice processing, onboard vendors, assist in budget preparations, and contribute to the development of digital training resources and modules.
- Maintain standard agreements and templates for regional headquarters and subsidiaries.
- Evaluate existing processes and systems and collaborate with business and operations teams to recommend and implement improvements.
- Ensure smooth handling of administrative and logistic matters within the Legal & Compliance Department.
Job Requirements
- Competence in managing contract databases and using contract lifecycle management software.
- Knowledge of statutory filings, drafting board minutes, regulatory compliance, and corporate secretarial best practices.
- Experience in creating digital training content, including composing instructional materials and managing online learning platforms.
- Strong command of Microsoft Office 365 applications (Word, Excel, PowerPoint) and experience managing department workflows.
Experience & Skills
- Practical experience administering Contract Lifecycle Management (CLM) systems, tracking contract milestones, managing contract renewals, and auditing contract repositories.
- Proven ability to prepare board resolutions, maintain minute books, manage statutory filings, and ensure corporate regulatory compliance.
- Background in overseeing daily office operations, streamlining workflows, tracking budgets, and coordinating interdepartmental projects.
Educational Qualifications
Diploma holder with the following skill set:
- Meticulous attention to detail for accurate document preparation, filing, and maintenance.
- Organizational skills to systematically arrange documents and assign proper naming conventions.
- Effective time management to juggle multiple responsibilities efficiently.
- Knowledge of best practices in securing both physical and digital documents.
- Strong communication skills to liaise across departments and prepare necessary documents.
