Role Overview

This position is responsible for overseeing and directing all administrative functions in the South and West regions—including various company premises like branches, manufacturing plants, warehouses, and offices. The lead ensures seamless execution of centrally dictated protocols such as security, compliance, waste disposal, travel, cab services, billing, and purchase orders. A uniform approach to administrative practices and service quality is maintained across all locations, serving as the pivotal communication link between regional sites and central administration teams to assure discipline, policy compliance, and an excellent workplace environment.

Core Responsibilities

  • Supervise routine administrative and facilities operations throughout the South and West regional sites.
  • Guarantee complete facility preparedness, including cleaning, equipment maintenance, pantry services, reception, seating arrangements, utilities, asset care, and overall infrastructure condition.
  • Perform regular audits covering hygiene, safety, and regulatory adherence in various formats encompassing plants, warehouses, and corporate offices.
  • Facilitate prompt resolution of issues and provide continuous support to all staff within the region.
  • Enforce security measures—oversee guard scheduling, manage incident logs, regulate visitor and vehicle access, and conduct security audits.
  • Comply with all administrative, health, safety, and statutory regulations as outlined by central HSE and compliance departments; maintain thorough documentation and drive issue resolution following inspections.
  • Oversee waste management and environmental, social, governance (ESG) initiatives, ensuring adherence to proper disposal, recycling, and sustainability protocols while submitting necessary ESG data to central teams.
  • Manage regional travel and accommodation policy enforcement, serving as the main contact for travel-related issues in collaboration with the central travel desk.
  • Implement transport policy guidelines for employee safety and support logistical needs including shift operations in plants and warehouses.
  • Coordinate with central real estate teams regarding landlord communications, site inspections, expansion projects, lease renewals, and adherence to lease agreements.
  • Collaborate with procurement and financial administration for purchase order creation, invoice verification, and maintaining financial documentation related to administrative expenses.
  • Monitor and evaluate vendor performance for all service providers—facility management, security, transportation, housekeeping—and conduct service level agreement (SLA) reviews, escalating as required.
  • Control administrative expenditure within authorized budgets, track resource usage, highlight discrepancies, and contribute to budget planning for all sites in South and West regions.
  • Prepare and deliver monthly reports including facility status, compliance progress, vendor performance, incident documentation, and improvement plans.
  • Lead efforts to resolve all audit findings across regional sites and comply with governance standards.

Key Performance Metrics

  • Ensured operational facility readiness and uptime across all assigned sites.
  • Adherence to SLAs by contracted vendors across facility management, security, transport, and housekeeping services.
  • Successful compliance with audit protocols and quick closure of gaps pertaining to statutory, safety, and administrative requirements.
  • Strict budget compliance and realization of cost-saving initiatives within the region’s administrative spending.
  • Timely and accurate handling of billing, purchase orders, and all vendor documentation.

Candidate Profile

  • Minimum 7 years of experience in administration and facility management spanning multiple sites and regions.
  • Experience managing admin operations in diverse environments such as manufacturing plants, warehouses, and branch offices.
  • Proven capability in interfacing with central administration functions and implementing directives at the ground level.
  • Expertise in vendor management, contract compliance, and SLA enforcement.
  • Strong knowledge of statutory regulations, workplace safety, and audit procedures.
  • Background in budget oversight, cost control initiatives, and thorough administrative documentation.
  • Leadership skills with experience managing distributed teams across locations.
