Job description

Position Summary

The University of Kansas is seeking a Recruitment Specialist to join its Talent Acquisition Centers of Excellence within Human Resources. In this role, you will help manage recruitment and onboarding for new hires, with a strong focus on student hiring. You will coordinate activity from job posting through onboarding, while also supporting outreach and networking efforts that help create a smooth and positive experience for candidates and search committees. This position uses a hybrid schedule, with two days each week spent on the Lawrence campus.

Core Duties

The role is organized across several focus areas, including student recruitment, new employee experience, compliance and reporting, outreach, and additional assigned responsibilities.

Student Recruitment

  • Act as a recruitment resource and connector for HR partners, units, and search committees, providing guidance that aligns with federal rules as well as university policies and procedures for student hiring.
  • Partner with departments on student job posting details so postings meet university standards.
  • Examine and audit recruitment plans, then publish approved position descriptions in coordination with the HR Partner or Compensation Team when needed.
  • Check position number assignments and position control details, and review student direct hires alongside the supervisor.
  • Help applicants with process and application-status questions, and send system notices when candidates receive outcome updates.
  • Coordinate multiple student hiring processes at the same time.
  • Manage federal work-study pools and related hiring steps with units, affiliates, and HR Partners.
  • Create online offers, confirm memorandum of agreement requirements, oversee background check completion and results, update PeopleSoft panels for position management, collect supporting and organizational documents for compliance, and monitor hiring activity to ensure university standards are met.
  • Work with a supervisor or Senior Recruiter whenever a start date, compensation, or other offer-letter detail needs to be changed.
  • Collaborate with the Recruitment Director to address search-process issues and help resolve concerns.
  • Coordinate with the International Employment Advisor Sr. or International Scholar Services on visa-related matters.
  • Handle assigned tickets that require support beyond the first level.
  • Consult with HR partners and units on internship questions, summer camps, and similar matters.
  • Support networking, recruiting, and outreach initiatives for the team.
  • Assist HR Partners in schools and other areas as needed, especially for student and 3G hiring needs.

New Employee Experience

  • Work with the Onboarding Specialist Team and new hires to help create a welcoming and positive onboarding experience.
  • Assist with the planning and development of new-hire orientation programs when needed.

Compliance, Training, and Reporting

  • Review recruitment data and reports to spot patterns, evaluate recruiting effectiveness, and suggest improvements.
  • Maintain accurate records of information, communication history, and recruitment actions, and provide ad hoc reports to HR Partners or supported units as requested.
  • Take part in projects that improve efficiency and develop training resources for stakeholders.

Networking and Outreach

  • Identify outreach opportunities that strengthen the university’s visibility and help position it as an employer of choice.
  • Participate in social media activity, student hiring job fairs, external job fairs, and other HR-related events as appropriate.
  • Work with units to share updates and build connections around recruitment services and strategic offerings.

Additional Responsibilities

  • Stay engaged in professional development activities that support ongoing learning and growth.

Required Qualifications

  • A bachelor’s degree, or a high school diploma/GED plus at least four years of related professional-level experience, or an equivalent combination.
  • Strong PC/Windows computer proficiency, including Microsoft Word and Excel, shown through application materials and prior experience.
  • Excellent written communication and strong attention to detail, demonstrated through application materials.
  • Prior experience building collaborative relationships and partnerships, as shown in application materials.
  • Experience working independently within a team, taking responsibility for resolving issues, remaining flexible and accountable, managing competing priorities, and consistently meeting deadlines.

Preferred Qualifications

  • Two years of experience in human resources or recruiting.
  • PHR or SCP certification.
  • Experience in recruitment-related work in human resources, benefits, communications, and/or training at the University of Kansas.
  • Experience handling confidential information.
  • Experience using an HR applicant tracking system.
  • Prior work requiring analytical thinking and problem-solving ability.
  • Ability to build and maintain effective working relationships with constituents at all levels in a higher education setting.
